We are seeking a highly motivated and detail-oriented Project Coordinator to join our team. This role is ideal for someone looking to grow their career in construction management while contributing to complex, rewarding projects. The Project Coordinator will work closely with the Director of Operations, project teams, and management to ensure the seamless execution and reporting of projects.

Key Responsibilities

  • Project Support
  • Assist the Director of Operations with scheduling, documentation, communication, and coordination to support the project management process.
  • Track project timelines, budgets, and deliverables to ensure milestones are achieved.
  • Prepare and distribute project reports, meeting minutes, and updates to key stakeholders.

  • Communication & Coordination
  • Act as a liaison between estimating teams, project teams, and management, facilitating smooth communication.
  • Schedule and coordinate meetings, ensuring follow-up actions are completed.
  • Maintain the company’s communication platform and shared drive, automating processes wherever possible to enhance project flow and timely information sharing.

  • Documentation & Reporting
  • Manage and maintain project documents, status tracking spreadsheets, surveys, and closeout scorecards.
  • Ensure reports are updated with accurate, real-time data and distributed to key stakeholders.
  • Manage documentation standards to ensure all files are properly formatted and accessible adhering to consistent naming conventions and folder organization.

  • Risk Management & Problem Solving
  • Identify potential project issues and promptly escalate them to the Director of Operations.
  • Collaborate with teams to develop practical solutions to address challenges as they arise.

  • Learning & Development
  • Participate in training programs to advance project management skills.
  • Shadow experienced Project Managers to gain insights into higher-level responsibilities and long-term career growth.

Qualifications

  • Bachelor’s degree in Construction Management, Engineering, Business, or a related field is preferred.
  • 1–2 years of experience in construction, project coordination, or a related role (internships or entry-level experience accepted).
  • Familiarity with construction processes and ERP software tools such as SmartBid, Foundation, MS Project, or Procore is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft 365/Office Suite (Word, Excel, PowerPoint).
  • A problem-solving mindset with a willingness to learn and adapt.
  • Exceptional attention to detail and a proactive attitude, self-starter.
  • Strong ability to work collaboratively within a team environment.
  • Commitment to personal and professional development with a goal of advancing into a Project Manager role.
