Join Our Team at AFL Integria!
Are you highly organized, detail-oriented, and someone who thrives in a fast-paced, collaborative environment? AFL Integria is looking for a Project Coordinator to join our MxU NGM Operations team and help keep telecommunications infrastructure projects moving forward.
As part of AFL, a global leader in fibre optic solutions and network infrastructure, AFL Integria delivers innovative connectivity solutions to customers and communities across Canada.
At AFL Integria, our people are at the heart of what we do. We value collaboration, accountability, continuous learning, and a commitment to delivering quality results. We offer an environment where employees can develop their skills, contribute to meaningful projects, and build their careers.
About the Role
The Project Coordinator – NGM Operations plays a key role in supporting the planning, coordination, execution, and successful completion of telecommunications and infrastructure projects.
Working closely with Operations, Engineering, Field teams, Finance, vendors, contractors, and clients, this position helps ensure projects are properly planned, resources are available, schedules are maintained, and outstanding issues are resolved in a timely manner.
We are seeking a Project Coordinator who is proactive, organized, and adaptable, with strong communication skills and the ability to manage multiple priorities, build relationships, and keep projects on track in a dynamic environment.
Responsibilities:
- Coordinate assigned NGM projects and scopes of work through planning, readiness, release, field execution, completion, financial handoff, and operational close-out.
- Maintain current status for assigned scopes, including project identifiers, site details, design readiness, permits/approvals, vendor assignment, quotation status, purchase-order status, planned dates, actual completion, completion-package status, and open actions.
- Review assigned scope information with Field, Engineering/Design, and vendors to confirm that the work package is sufficiently defined before release.
- Coordinate pre-fielding activities and act as an operational liaison between Project Management, Engineering/Design, Field teams, vendors, and customer/developer stakeholders to resolve readiness issues before construction release.
- Coordinate requests for quotation and vendor responses; confirm that quotations align to the available design, scope, quantities, exclusions, rate-card items, pass-through costs, and known site conditions before routing for approval.
- Coordinate vendor awards and operational handoffs only after required scope, commercial, and release prerequisites are satisfied.
- Confirm required project materials are identified and available, or that material dependencies and shortages are documented and escalated, before planned field execution.
- Confirm applicable operational safety, permitting, utility-locate, and site-access prerequisites are identified before work release, and escalate missing or expired requirements before field execution.
- Support compliance with applicable safety requirements for assigned work by confirming required prerequisites are identified, documenting operational safety concerns, and escalating conditions that may prevent safe work release or continuation.
- Monitor assigned project and field-delivery progress against planned milestones and client or developer requested dates; identify schedule risks, blockers, dependencies, and aging actions and drive follow-up with the responsible party.
- Coordinate operational requirements associated with assigned field and infrastructure scopes, including applicable permits, utility locates, access, traffic accommodation, construction activities, materials, restoration, testing, and other project-specific prerequisites.
- Coordinate design clarification, customer/developer requirements, utility or third-party dependencies, construction interfaces, removals or transfers, make-ready activities, testing, activation, restoration, and other scope-specific requirements where applicable.
- Maintain clear separation between approved scope, field-driven changes, administrative corrections, and new or changed scope; initiate or route scope-change requirements when work, quantities, cost, timing commitments, or customer requirements change.
- Ensure change requests contain sufficient operational rationale, supporting documentation, quantities, vendor information, and traceability to the original project or approved scope.
- Coordinate completion-package readiness and verify that required operational evidence is available before work is considered ready for close-out or financial handoff.
- Follow up on incomplete completion packages, missing as-builts, test or acceptance evidence, vendor documentation, and unresolved field deficiencies that prevent closure or billing readiness.
- Maintain accurate trackers and project records in approved systems and ensure key status changes, actions, decisions, and supporting documents are traceable.
- Maintain assigned projects, subtasks, milestones, dependencies, actions, and supporting documentation in JIRA and other approved project-management systems, ensuring operational status accurately reflects current field and delivery conditions.
- Provide concise project status updates for operational reviews, highlighting schedule, readiness, vendor, approval, scope-change, completion, and financial risks.
- Act as a client- and vendor-facing operational point of coordination for assigned work, communicating with clients, developers, site representatives, contractors, and vendors regarding readiness, access, schedules, dependencies, field progress, issues, and completion status, while escalating contractual or commercial commitments outside delegated authority.
- Exercise delegated coordination authority to progress routine operational matters but do not independently alter engineered design, contractual scope, customer commitments, commercial terms, or approved budgets.
- Escalate unresolved field, vendor, design, approval, safety, customer, or commercial issues to the appropriate Project Manager or Operations leader.
- Participate in continuous improvement of NGM operational workflows, trackers, handoffs, readiness controls, and project-review practices across assigned scopes.
Qualifications:
- Two or more years of experience in project coordination, telecommunications, construction, field operations, infrastructure delivery, or a related project-delivery environment is preferred.
- Post-secondary education in project management, construction management, engineering technology, business, or a related discipline is preferred; equivalent relevant experience will be considered.
- Working knowledge of construction and project-delivery workflows, including quotation, vendor coordination, scheduling, field readiness, change management, completion documentation, and close-out.
- Experience coordinating telecommunications or infrastructure scopes such as outside plant, civil, relocation, distribution/build, FDH, Quick Connect, materials, field readiness, or comparable work is preferred.
- Ability to review drawings, scope documentation, quotations, project records, and completion evidence sufficiently to identify missing inputs, inconsistencies, and operational risks.
- Working financial literacy, including understanding of quotations, purchase orders, budget versus actual cost, commitments, scope changes, cost overruns, billing readiness, and margin implications.
- Proficiency with Microsoft 365, including Excel, Outlook, Teams, Word, and SharePoint; experience with project tracking systems such as JIRA or Smartsheet is an asset.
- Strong written and verbal communication skills, with demonstrated ability to communicate professionally with clients, vendors, contractors, and internal teams, manage routine external interactions, and coordinate multiple stakeholders.
Personal Qualities:
- Operationally focused - maintains practical visibility of what is ready, what is blocked, what is in the field, and what is required to close.
- Accountable - owns assigned coordination activities and follows issues through to resolution or appropriate escalation.
- Detail oriented - maintains accurate project, scope, schedule, quotation, vendor, and completion information.
- Commercially aware - understands that operational decisions can affect cost, margin, billing, and recoverability.
- Collaborative and relationship focused - works effectively with clients, developers, vendors, contractors, field teams, Engineering/Design, Finance, Quoting, and Project Management while maintaining professional and responsive working relationships.
- Decisive within role boundaries - progresses routine operational matters while escalating decisions requiring technical, financial, contractual, or management authority.
- Organized - manages multiple active projects, vendors, dependencies, deadlines, and outstanding actions simultaneously.
- Clear communicator - provides concise status updates, documents decisions, and follows up effectively with internal and external stakeholders.
Working Conditions:
- Hybrid office and remote work environment in accordance with company and team requirements.
- 40 hours per week, generally Monday through Friday; schedule flexibility may be required to support field activity, customer milestones, or urgent project issues.
- Regular coordination with field teams, contractors, and vendors; local site visits may be required to support readiness, issue resolution, progress verification, or close-out.
- Work may involve active construction environments when attending sites; required site-specific safety procedures and personal protective equipment must be followed.
- Limited travel may be required based on assigned project geography.
