Primary Function:

We are seeking a highly organized and detail-oriented Project Coordinator to join our team. As Project Coordinator, you will partner with other Project Coordinators, managers, and field staff throughout Industrial hygiene project lifecycles, managing administrative aspects of technical projects. Primary responsibilities include job intake via emails and calls, scheduling, dispatching, transmission of results and reports, handling client inquiries over email and phone. Your expertise in project coordination, communication, and problem-solving will contribute to the successful execution of projects while maintaining high standards of compliance.

Responsibilities: 

  • Track and schedule projects using project tracking software
  • Manage projects from initiation to completion, including scheduling, daily tracking, coordination of field activities, and client communication
  • Create and maintain electronic project folders and documentation for inspectors
  • Provide cross-functional support to other departments as required
  • Track daily reports and results to ensure timely delivery and project monitoring
  • Ensure all reports and supporting documentation are properly prepared for invoicing
  • Follow up with clients to confirm or reschedule appointments
  • Handle inbound sales calls and respond to general inquiries and online leads
  • Prepare client proposals and assist with project pricing and bidding
  • Assist Lead Project Coordinator with maintaining client and billing information in the project tracking software
  • Support marketing efforts and participate in events as needed
  • Provide backup support to administrative staff as needed, assisting with general office tasks
     

Required Qualifications

  • Three years of office-setting experience

  • Two years of customer service experience

  • Effective, professional written and verbal communication skills

  • Proficiency using Microsoft Office programs and Google applications

Preferred Qualifications

  • Associate degree

  • Ability to lift, carry, and move items weighing up to 30 pounds.

  • Ability to sit for extended periods and use a computer to complete documentation, reporting, and administrative tasks.
