Position Summary:
Construction Procurement Solutions (CPS), part of the STO Building Group is seeking a detail-oriented and proactive Post-Award Coordinator to manage and control project documentation and processes following award. The successful candidate will serve as the central point of contact for CMiC project information, purchase order and contract execution, change order coordination and tracking, submittals, equipment tracking, and project documentation. This role is critical to ensuring seamless project execution by maintaining accurate and timely project information, driving follow-up on outstanding items, and coordinating communication across Engineering, Procurement, Accounting, Project Management, vendors, and clients.
Key Responsibilities:
- CMiC Administrative & Information Control: Manage and maintain accurate post-award project information in CMiC, serving as the gatekeeper for project data, purchase orders, change orders, documentation, and project status.
- Change Order Coordination & Tracking:
Coordinate change orders with CPS Engineers and internal teams, track all change orders from initiation through approval and issuance, maintain current status logs, and proactively follow up on outstanding items. - Contract & PO Execution:
Coordinate the execution of vendor purchase orders and project agreements following award, ensuring required documentation, approvals, terms, and supporting information are completed and properly maintained in CMiC. - PO & Contract Administration:
Track PO status, revisions, and changes throughout the project lifecycle; coordinate with Procurement, Accounting, Engineering, and vendors to ensure executed agreements and commitments accurately reflect the awarded scope and approved changes. - Communication:
Serve as a liaison between internal teams, clients, and vendors regarding documentation, submittals, and delivery milestones. - Quality Control:
Ensure all documentation is complete, accurate, and filed in accordance with company procedures and project requirements. - Continuous Improvement:
Identify and implement process improvements for document control, submittal workflows, and delivery coordination.
Required Qualifications:
- 3+ years of experience in project administration, document control, or coordination—preferably within the construction or building supply industry
- Proficiency in project management and ERP systems, ideally CMiC; strong Excel and general computer skills
- Demonstrated organizational skills with a keen attention to detail and accuracy
- Strong attention to detail with the ability to maintain accurate project information and manage multiple project records simultaneously
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Excellent verbal and written communication skills
- Strong problem-solving ability and proactive follow-up habits
Preferred Qualifications:
- Experience in construction management, procurement, or subcontractor coordination
- Familiarity with CSI divisions, construction specifications, and AIA documentation
- Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field

The salary range for this position is $75,000-90,000 annually. In addition, this role is eligible for a discretionary annual bonus.

Skills Required
