Our Project Coordinator will be an in-office role working out of our West Business Unit, located in Sacramento, CA. As a Project Coordinator at SitelogIQ, you'll play a key role in supporting the successful delivery of energy, infrastructure, and construction projects that improve schools, healthcare facilities, and communities. Working alongside Project Managers, engineers, subcontractors, and clients, you'll help keep projects organized, compliant, and moving forward from kickoff through closeout. This is an excellent opportunity for a detail-oriented professional who enjoys solving problems, coordinating multiple priorities, and wants to build a career in project management, construction operations, or the energy services industry.
Target Hourly: $28/hour - $34/hour+ depending on experience
Project Coordinator Responsibilities:
Coordination
- Represent SitelogIQ (SIQ) professionally and with utmost courtesy, precision, positivity, respect, and attention to detail when engaging with clients, subcontractors, and vendors.
- Demonstrate effective and proactive communication skills, fostering clear interactions within our internal teams and in our dealings with external customers, vendors, and subcontractors.
- Advocate for the delivery of exceptional customer service.
- Maintain a state of equilibrium when engaging with multiple stakeholders, ensuring that customer expectations are met while working with efficiency and effectiveness.
- Collaborate seamlessly with various SIQ functional teams encompassing operations, business development, and engineering.
- Serve as the primary resource for all team members regarding operational processes and historical information.
- Act as the cohesive force that binds our team together.
- Supply development teams with updated cost of sales information.
- Follow up with subcontractors to provide additional project information and ensure current compliance requirements are documented, including certificates of insurance, bonds, and certified payroll.
Administration
- Strictly adhere to regulatory and industry safety standards, following the guidelines outlined in the SafetyIQ Manual, and meticulously document compliance with SafetyIQ and safety training.
- Create development projects in SitelogIQ’s ERP and Construction Management systems, Acumatica and Procore.
- Complete contract exhibits accurately.
- Facilitate project launch meetings and set up initial project documentation, including the transition of development projects to the work-in-progress status in both Acumatica and Procore.
- Create and store Notice to Proceed documentation for Project Managers.
- Procure, obtain, and safely store proof of payment, performance bonds, and insurance.
- Maintain records of preliminary notices.
- Review, organize, store, and retrieve critical documents such as executed contracts, compliance and performance documentation, and offer guidance to team members on effective storage of meeting minutes, proposals, memos, emails, and other forms of correspondence.
- Verify the registration of projects with the Department of Industrial Relations.
- Confirm the receipt and audit of all certified payroll reporting submissions.
- Facilitate document execution, such as prime contracts, subcontracts, or change orders, through DocuSign.
- Compile, organize, and document all aspects of completion documentation, including certification of completion, product literature, operations and maintenance instructions, training materials, and warranty statements.
Procurement
- Collect the necessary information required by the accounting department for new vendor or customer accounts in Acumatica.
- Validate and process lead generation payments through Accounts Payable.
- Secure any required permits.
- Supply Project Managers with subcontract agreement numbers for tracking in Acumatica.
- Adjust subcontract values according to executed change order documentation.
- Supply project managers with purchase order numbers for mechanical and solar equipment orders upon receipt of relevant order documentation. Work with corporate accounting department to reconcile purchase orders for adjustments to sales tax, change directives from Project Managers, and to periodically close out purchase orders.
- Offer essential support and set up recurring payments for site logistics, including the procurement of modular storage, temporary fencing, portable toilets, hand wash stations, disposal services, and other minor site requirements.
- Successfully complete the procurement process and diligently document it within SitelogIQ's ERP system.
- Fulfill any other job duties as assigned in a productive manner.
Project Coordinator Qualifications:
- Bachelor's degree in Accounting, Business, or a related field, or 3+ years of equivalent experience supporting a team in construction management or accounting preferred.
- Completion of or willingness to obtain OSHA10 certification (covered by the company) within one year.
- CA Department of Education Federal and State Background Clearances are mandatory.
- Experience working in environments involving multiple stakeholders.
- Proficiency in using the MS Office Suite, including MS Project, as well as web-based and smartphone applications. Knowledge of construction technology and management software, with preference for familiarity with Procore and Acumatica.
- Working knowledge of job cost accounting and percentage-of-completion (WIP) revenue recognition principles as applied to construction, ESCO, and renewable energy projects.
- Experience reviewing subcontractor pay applications and reconciling retention, lien releases, and progress billing (e.g., AIA G702/G703) against contract terms.
- Ability to track budget-to-actual variances at the project level and flag cost overruns or margin erosion for Project Manager and Finance review.
- Familiarity with change order cost impact analysis and updating project budgets and forecasts in Acumatica accordingly.
- Understanding of sales and use tax treatment on construction materials and equipment purchases.
- Familiarity with California Regulatory agencies, including DIR, is a plus.

- Physical capability to climb ladders and stairs, comfortably lift 40+ pounds, and stand for extended periods.
