We are a luxury home design showroom serving high-end residential clients and interior designers throughout Orange County and Los Angeles. We specialize in premium window treatments and home furnishings for luxury properties, working with distinguished interior designers and discerning homeowners.
The Role
We're seeking a technically sharp, detail-driven Project Coordinator to manage a portfolio of window-treatment projects from order to installation. You'll support Project Managers by owning project accuracy, keeping production and delivery on schedule, and be the operational link between clients, designers, installers, and vendors. Over time, you'll take on increasing ownership of project oversight currently handled by the owner.

What You'll Do:
Project Coordination (Core Focus)
- Manage a pipeline of ~20 active projects simultaneously, tracking status, fabric/yardage, and production timelines
- Ensure quoting and system records are technically accurate
- Communicate project status to clients throughout the full lifecycle
- Proactively identify and resolve issues before they escalate
- Coordinate with interior designers, installers, workrooms, and vendors
- Manage warranty and service requests
- Review daily KPIs, metrics, and project status
Lead Generation and Client Management
- Respond promptly to new leads and schedule client consultations
- Manage and maintain CRM pipeline with accuracy and attention to detail
- Follow up on proposals and monitor lead response times
- Collect client satisfaction feedback and referrals
- Provide sales support as needed
Field Operations
- Conduct field work at 2-3 installations per week
- Capture professional before, during, and after project photos and videos
- Welcome clients at the showroom and provide consultations
- Handle sample delivery, client coordination, and errands
Systems and Process Improvement
- Lead weekly operations meetings
- Improve internal workflows and standard operating procedures
- Identify bottlenecks and recommend improvements to increase efficiency
- Maintain accurate records across CRM and project management systems
Additional Duties
- Support designer events and networking (2-5 per year)
- Assist with showroom maintenance, ensuring the space is clean and organized
Who You Are:
- 2+ years of experience in project coordination for window treatments, interior design, custom home furnishings, or a closely related trade
- Comfortable owning technical details: quoting, fabric/yardage tracking, production schedules
- Proven ability to manage a quantity of concurrent projects with strong prioritization and adaptability
- Exceptional written and verbal communication skills
- Experience serving high-end or luxury clientele
- Proficient or agile in Excel, ClickUp or similar project management tools, CRM systems, Microsoft platforms, OneDrive, and AI tools
- Social media savvy
- Ability to make independent decisions with confidence and integrity
- Valid driver's license and reliable vehicle
- Physical ability to move around, walk, drive, and carry 30-50 lbs regularly
