Role Overview
The Project Coordinator plays a pivotal role in assisting in the set-up, close-out, and documentation of commercial electronic security projects and related internal processes. This position will report directly to the Operations Manager while supporting the project management team and working in conjunction with internal support teams on a wide variety of tasks and responsibilities.
Key Responsibilities
- Work closely with and support Operations Manager, Project Managers, and Project Engineers on administrative tasks and processes.
- Work directly with all PASS Internal Departments as needed or required throughout the project lifecycle.
- Set up and maintain customer and project information, and related documentation within internal systems and database tools.
- Assist in reviewing project files for required documentation, sign off on checklists identifying variances.
- Assist the Operations Manager and Project Managers to ensure all project steps are completed, documented, and communicated accordingly.
- Track and document resources, milestones, and deliverables.
- Review take offs/floor plans to verify parts required for projects and update when addendums or change orders are received.
- Maintain documentation for takeoffs, contracts, estimates, plans, and addendums.
- Assist Operations Manager in generating reports and metrics.
- Participate in project meetings and update project status spreadsheets with minute notes.
- Assist Operations Manager with special projects.
Qualifications
- 3+ years of experience in administrative support or a related role.
- 3+ years of experience in customer support.
- Proficient in Microsoft Office.
- Strong organizational, prioritization, and thoroughness skills.
- Excellent follow-up and follow-through skills.
- Positive, cooperative, and accommodating nature.
- Critical thinking skills and the ability to act autonomously.
- Excellent verbal and written communication skills.
- Excellent telephone and email communication skills.
- Reliable and hardworking.
- Ability to work effectively both independently and as part of a team.
- Ability to obtain an Illinois PERC Card (required for all security industry personnel).
- Successful completion of a drug test.
Work Requirements: The position is considered sedentary and requires extended periods of telephone and PC exposure.
