The Team

The Project Coordinator will be joining the EMEAPAC MBD Operations team, which is an integral part of the wider MBD function across Europe, the Middle East and Asia-pacific (EMEAPAC). The team provides high-quality support across the EMEA MBD team's many key projects.


The Role

The role will report into the MBD Operations team project manager, and work closely with the Head of MBD Operations, MBD leadership team, subject matter experts, as well as other business services teams to support in the development, effective co-ordination and execution of plans to improve operational effectiveness and help the MBD function enhance the value it delivers to the business.


This role is central to many of the firm's key processes.


Key Responsibilities

The key focus will be to provide support to the EMEAPAC MBD Operations team with the implementation, coordination and delivery of the EMEAPAC MBD team's key projects.


You will be responsible for supporting on multiple projects of various size and complexity. To be successful in this role, you will have excellent organisational and planning skills, be comfortable working to deadlines and ensure a high level of stakeholder satisfaction. Efficient and clear communication skills are key.


You will be required to support with the production and maintenance of all project documents and will be responsible for coordinating project/progress meetings, the collation of meeting material, detail/action recording and assisting with the production of regular progress reports to management.


The change management and process improvement projects are not limited to, but are likely to include the following:

  • Coordinate multiple business, technology and operational projects across the firm, ensuring objectives, timelines, risks and dependencies are effectively managed.
  • Produce and maintain project documentation including project plans, RAID logs, requirements, process maps and status reports.
  • Support project managers and business stakeholders with project planning, governance, reporting, meeting coordination and action tracking
  • Content management to ensure a single point of truth for key collateral
  • Bid and experience systems, processes, evaluation
  • Internal reporting requirements
  • Facilitating workshops and stakeholder meetings to gather requirements
  • Effectively use Microsoft tools including copilot and planner to track projects
  • Support process improvement initiatives, helping to streamline workflows, improve efficiency and enhance the user experience with a particular focus on AI & automation.

How we collate, maintain, manage, repurpose and use our experience against our marketing collateral is a key area:

  • This person would be the SME and key contact for all Experience Management and league table queries, training, ensuring an efficient and effective matter collection end to end process is implemented and communicated with minimal impact on fee earner and MBD time
  • They would focus on data management, process efficiencies, driving buy-in and change, communication, integration with other tools, develop and implement a central tracker, reporting and further developing and future-proofing the tool

AI and innovation responsibilities

  • Identify opportunities to leverage AI, automation and digital tools to improve operational efficiency and service delivery.
  • Support the implementation and adoption of AI-enabled solutions, including Microsoft Copilot and other approved legal technology platforms.
  • Assist with documenting AI use cases, benefits, risks and lessons learned to support responsible AI adoption.
  • Analyse data and prepare insights to inform decision-making and identify opportunities for continuous improvement.
  • Promote best practice in AI governance, data management, information security and compliance.
  • Support training, communications and change management activities to encourage effective adoption of new technology and ways of working.
