Service Coordinator

Position Summary
Prairie HVAC/R, part of the IR Pros family of companies, is seeking a Service Coordinator who acts as the primary point of contact for customers, clients, and team members to ensure efficient scheduling, communication, and support for service delivery. This role involves managing service requests, coordinating schedules, maintaining records, and ensuring excellent customer satisfaction.
A successful Service Coordinator is detail-oriented, organized, and proactive in resolving challenges.
Key ResponsibilitiesScheduling and Coordination
- Schedule and dispatch electricians, technicians or staff to meet client needs
- Manage calendars to avoid scheduling conflicts and maximize productivity
- Coordinate resources, equipment, and materials for service projects
Customer Service
- Act as the primary liaison between clients and the organization
- Address inquiries, resolve complaints, and provide updates on service progress
- Maintain strong relationships with clients to ensure satisfaction and retention
Administrative Support
- Maintain accurate records of service requests, schedules, and client communications
- Prepare reports and documentation related to service activities
- Ensure compliance with company policies and regulatory requirements
Communication
- Communicate effectively with team members, vendors, and clients to ensure smooth service operations
- Relay updates and changes promptly to all relevant parties
- Provide feedback to improve processes and service quality
Problem-Solving
- Resolve scheduling conflicts and address unforeseen issues
- Proactively identify and implement solutions to enhance efficiency and effectiveness
- Proven experience in a coordination or administrative role (service-related experience preferred)
- Excellent communication and interpersonal skills
- Strong organizational and time-management abilities
- Proficiency in office software (e.g., MS Office, scheduling tools, CRM systems)
- Problem-solving skills with attention to detail
- Ability to multitask and work in a fast-paced environment
Experience with any of the following is a plus:
- Scheduling or dispatching for a field service or trades organization
- Electrical, Industrial refrigeration, HVAC/R, or mechanical services industry
- CRM or service management software (e.g., ServiceTitan, FieldEdge, or similar)
