Job Summary:

This position is responsible for supporting accurate and timely payroll administration for Infrastructure operations while maintaining alignment between field timekeeping, payroll processing, job costing, and Project Controls. The position reviews payroll and timekeeping information, identifies and coordinates resolution of exceptions, supports certified payroll requirements, and assists project teams with payroll-related processes and deadlines. As time, capacity, experience, and the role grow, this position will also provide administrative support for PCI and Change Order reviews and other Project Controls functions.

Essential Duties/Responsibilities:

  • Coordinate and support weekly payroll administration for Infrastructure operations, including review of field timecards, labor hours, equipment hours, production entries, and required approvals before payroll deadlines.
  • Review HCSS HeavyJob time entries for completeness, proper job and cost code assignment, labor classifications, equipment usage, and compliance with established payroll and Project Controls procedures.
  • Monitor payroll exception reports and system tools to identify missing hours, coding errors, unapproved timecards, PTO discrepancies, certified payroll classification issues, and other exceptions requiring correction.
  • Coordinate payroll corrections with Project Controls, Payroll, Operations, project teams, and field supervision and maintain supporting documentation for changes.
  • Support certified payroll requirements by reviewing applicable trade/classification codes, P-codes, employee classifications, and project-specific payroll requirements.
  • Assist with PTO verification and recurring payroll controls to help prevent duplicate, omitted, or incorrectly allocated payroll entries.
  • Review payroll-related job cost transactions and assist in researching discrepancies between field records, payroll records, and project cost reporting.
  • Maintain payroll administrative reports, supporting documentation, deadlines, and recurring communication for assigned departments and projects.
  • Communicate payroll deadlines, outstanding approvals, exceptions, and required corrections to project teams and appropriate stakeholders.
  • Support new job, employee, and cost-code readiness as it relates to timely and accurate payroll entry and processing.
  • Assist Project Controls with PCI and Change Order reviews, including administrative review, supporting documentation, tracking, and coordination as assigned.
  • Assist with project administrative duties, reporting, reconciliations, document review, and other Project Controls functions as time, capacity, experience, and the position responsibilities grow.
  • Provide training, guidance, and support to field and project teams on payroll entry procedures, HCSS workflows, deadlines, and related administrative controls.
  • Work collaboratively with Project Controls, Payroll, Accounting, Operations, HR, field teams, and other departments to improve payroll accuracy, job-cost integrity, and process consistency.
  • Regular attendance is required according to company policy to support recurring payroll deadlines and operational needs.
  • Performs other duties of a similar or related nature as assigned.
Qualifications

Required Skills/Abilities:

  • Working knowledge of payroll administration, timekeeping, job costing, and construction field processes.
  • Strong attention to detail and ability to identify discrepancies in hours, coding, classifications, approvals, and supporting documentation.
  • Proficiency in Microsoft Excel and the ability to learn and use construction, payroll, and ERP systems such as HCSS HeavyJob, Paycom, and CMiC.
  • Strong organizational and time-management skills with the ability to manage recurring weekly deadlines and multiple priorities.
  • Effective written and verbal communication skills and ability to coordinate professionally with field, operations, payroll, accounting, and management teams.
  • Ability to work independently, take initiative, follow established controls, and escalate issues appropriately.
  • Ability to handle payroll and employee information with discretion and professionalism.
  • Willingness to learn additional Project Controls functions, including change management, PCI/Change Order workflows, reporting, and reconciliations.
  • Ability to function well in a high-paced and at times stressful environment.

Education and Experience:

  • High school diploma or equivalent required; associate or bachelor's degree in Business Administration, Accounting, Construction Management, or a related field preferred.
  • Two (2) years of related administrative, payroll, accounting, construction, or project support experience preferred.
  • Construction payroll, job-cost, HCSS, Paycom, CMiC, or similar system experience preferred.
  • Valid Driver's License with a clear MVR may be required.

Physical Requirements:

  • Regularly sit, stand, or walk short distances throughout a shift/workday.
  • Occasionally walking on uneven surfaces, including ground in varying weather conditions.
  • May stoop, kneel, or bend on an occasional basis.
  • May reach above shoulder heights and below the waist on a frequent basis.
  • Occasionally climb stairs or ladders, etc.
  • Regularly works near heavy equipment and moving machinery.
  • Prolonged periods of sitting at a desk and working on a computer. 
  • Exposure to the outdoor environment with machinery/equipment in the surrounding area.  
  • Able to wear personal protective equipment, including but not limited to steel-toe shoes, gloves, safety glasses, hearing protection, hard hat, vest, etc.
  • Must be able to push/pull/lift/carry 20+ lbs.
  • Able to safely operate a personal and/or company motor vehicle.

This position may require the use of personal and/or company vehicles on company business.  Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license, and maintain an acceptable driving record.  Employees in this position may be subject to random Motor Vehicle Record and alcohol and drug testing as a condition of continued employment.
