Job Description:

The Project Assistant plays a crucial role in supporting project management and ensuring the smooth execution and communication of various tasks and activities. This position involves collaborating with project managers, team members, and stakeholders to facilitate project progress. The Project Assistant is responsible for administrative duties, documentation, communication, and coordination to contribute to the overall success of projects.


Job Duties/Responsibilities:

Administrative Support:

Provide general administrative support to project managers.

Schedule meetings, arrange appointments, and maintain project calendars.

Prepare and distribute project-related material, reports, and documentation.

Coordinate and book travel and facility entry requirements.

Documentation & Communication

Facilitate communication within project team and external stakeholders, ensuring everyone is informed about project updates and changes.

Organize, file, and distribute project documentation and deliverables.

Coordination

Assist in coordinating project activities and tasks, and resources.

Track project timelines and milestones, reporting any delays or issues to the project manager.

Help organize and participate in project meetings, workshops, and training sessions.

Data Management

Maintain project database and ensure data accuracy.

Assist in data collection and analysis as required for project reporting.

Generate and distribute regular project status reports.

Problem-Solving

Identify and communicate potential project issues to the project manager.

Collaborate with team members to address and resolve challenges.

Proactively suggest improvements to enhance project efficiency.


Minimum Qualifications

Education:

Associate degree in a relevant field or equivalent work experience.

Experience:

Strong organizational and multitasking skills

Excellent communication skills, both written and verbal

Detail-oriented with a focus on accuracy and quality

Ability to work collaboratively in a team-oriented environment

Technical Skills:

Proficient with Microsoft Office suite

Preferred Skills:

Familiarity with project management methodologies

Experience with project management software

Previous administrative or project support experience
