About the Role:
We are seeking a dedicated Project Administrative Assistant to support a key project with the Department of Housing and Urban Development (HUD). This onsite position in our Rapid City, SD office will report directly to the Project Manager and serve as the primary point of contact for all HR-related administrative activities.
Key Responsibilities:
Recruiting:
- Provides end to end support throughout recruiting and onboarding process, maintaining commitment to providing a positive candidate and new hire experience.
- Responsible for generating offer letters as well as initiating and monitoring background checks, partnering with HUD team or background check vendor on a case-by-case basis.
- Coordinates the completion of new hire paperwork and sends onboarding communications, thoroughly reviewing content, and suggesting edits as needed.
- Responds to inquiries from candidates, hiring managers, and recruiters throughout duration of recruiting and onboarding process.
- Ensure new hires have completed appropriate trainings prior to starting work in the field.
HR Analysis:
- Setting up new vendors, to include requesting W-9. Subcontractor agreements, and Certificates of insurance and following through until task is completed
- Analyze retention and turnover.
- Coordination and Communication.
- Serve as a liaison between HR and other departments ensuring effective communication.
- Keep all relevant parties informed of project statuses and updates.
Documentation and Reporting:
- Maintain comprehensive project documentation.
- Prepare regular reports for the Project Manager and stakeholders highlighting progress, risks, and opportunities.
Resource Management:
- Assist in the allocation and management of resources according to project requirements.
- Track team member availability and adjust project plans, as necessary.
Process Improvement:
- Contribute to the continuous improvement of HR processes and systems by identifying inefficiencies and recommending enhancements.
- Ensure project activities comply with company policies and best practices.
Qualifications:
- Previous experience in a similar role preferred.
- Minimum of two years of experience in human resources preferred.
- Understanding of government contracts helpful.
- Excellent written and verbal communication skills.
- Detail oriented and highly organized.
- Ability to work autonomously as well as take direction as needed.
- Highly motivated and capable of seeing projects through from beginning to end.
- Strong technical skills and experience with Sharepoint as well as Microsoft Word, Excel, PowerPoint, and Outlook.
Work Environment:
This position is onsite in our Rapid City, SD office and operates in a professional office environment using standard office equipment such as laptop computers, photocopiers, and smartphones.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position will require the ability to lift files, open filing cabinets and bend or stand on a stool, as necessary. Little to no travel is expected for this position.
Position Type/Expected Hours of Work:
Days and hours of work are Monday through Friday, flexible scheduling options. Position operates during regular business hours. Occasional evening and weekend work may be required as job duties demand.Benefits:
