DNI is seeking a Project Administrative Assistant to provide organized, reliable administrative and document-management support to the Department of the Interior’s Interior Business Center, Financial Management Directorate, Contracting Officer Representative Services Branch.
The assistant will help COR Services staff maintain complete and accessible award files, manage repositories and shared drives, support meetings, monitor communications, and conduct administrative completeness checks for performer reports across a portfolio of approximately 375 contracts, Other Transaction Agreements, and Cooperative Agreements.
Key responsibilities- Organize, upload, and catalog award-file documents.
- Maintain document repositories, shared drives, and orderly award-file records.
- Draft meeting minutes and maintain agendas.
- Track documentation requirements and recurring submissions.
- Conduct administrative completeness checks of performer reports.
- Monitor COR Services inboxes and Teams channels for time-sensitive items.
- Maintain calendars, action-item records, and administrative tracking information.
- Support report consolidation, meeting preparation, and routine administrative pre-review of performer submissions.
- Send reminders to COR Services staff for required actions and upcoming deadlines.
- Support continuous award-file updates based on performer submissions.
- Support routine, non-directional coordination with award performers, vendors, and other external stakeholders as assigned.
- Protect government information, data, and equipment and follow applicable security, privacy, records, and information-handling requirements.
RequirementsMinimum qualifications
- At least 2 years of experience in administrative or program support.
- Experience using document-management and tracking systems.
- Strong organization, accuracy, written communication, discretion, and follow-through.
- Active Public Trust or ability to receive a Public Trust Clearance
- Familiarity with federal acquisition or federal assistance processes.
- Experience organizing award or contract files and maintaining shared repositories.
- Experience monitoring inboxes or Teams channels, preparing meeting materials, maintaining agendas, drafting minutes, or reviewing submissions for completeness.
- Experience supporting a government, regulated, compliance-focused, or deadline-driven environment.
- Complete routine actions within one business day unless otherwise stated.
- Issue deadline and deliverable reminders at least five business days before due dates.
- Monitor COR Services inboxes and Teams channels daily.
- Support continuous award-file updates based on performer submissions.
- Support weekly deliverable and milestone tracking and monthly or as-requested summary reporting.
- Maintain award-file documentation that meets completeness requirements at first submission.
- Escalate urgent matters to COR Services leadership within two business hours.
