Responsibilities
Executive Director and Programs Logistics Management - 10%
- Support the Executive Director’s calendar using Microsoft Outlook. This includes communicating with relevant stakeholders to find a common time, procuring a room reservation/ setting up a virtual meeting link, etc.
- Organize and update Program calendars
- Monitor OES and affiliated programs’ email inboxes and respond to email inquiries; forward and triage emails as needed.
OES Program and Event Operations – 30%
- Serve as event manager and coordinator for OES Programs on and off campus
- Scheduling Program events and manage OES events calendar(s)
- In collaboration with SOE and university staff, coordinate OES events including catering, room reservations, invitations/RSVPs, and more for Executive Director and affiliated OES programs
- Maintain attendance and completion records for program tracking
- Creating and issue certificates of completion for tracked programs
Travel and Purchasing – 40%
- Manage P-card and Department-card accounts and reallocate as necessary
- Create and manage SPOs and POs
- Oversee purchasing, purchase orders, requisitions and related processes for spending of OES funds and grants
- Oversee the reconciliation of purchases, payment of invoices, and related processes for OES funds and grants
- Assist with travel arrangements including submitting necessary travel documents to the university for reimbursement
- Process travel authorization forms, check requests, mileage reimbursement forms
Communications - 15%
- Assist with managing calls, emails & other inquiries from applicants for OES programs.
- In collaboration with SOE and University communication and media personnel, manage OES social media and communications accounts
- Coordinate with OES and the School of Education staff to distribute large-scale communications related to OES programs
- Maintain OES and program-specific contact lists
- Assist in the creation and maintenance of forms, spreadsheets, marketing, and outreach materials

Required Qualifications
- High School Diploma or equivalent and at least 3 years of administrative support experience or a bachelor’s degree and 1 year of administrative support experience
- Calendar management experience
- Demonstrated experience using Microsoft Suite, particularly proficiency in Outlook & Excel
- Experience working in collaboration with supervisors, co-workers and vendors, as well as working independently
- Experience using discretion and handling sensitive matters with confidentiality in a professional, office environment

Schedule Information
- Full-time, 40 hours per week
- Non-exempt
- Days of the Week: Mon – Fri, 8:00 am – 5:00 pm
- Evenings and Weekend Work: Occasionally, as needed
- Schedule: Hybrid with both in person and some remote schedules
- Travel: Up to 25%, locally
Salary For Announcement
Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The salary range that the University reasonably expects to pay for this position is $41,200 - $57,000.
This position is paid monthly and is eligible for MSU Denver benefits.
