Job Description

Te Whiwhinga mahi | The opportunity

We are looking for an organised, proactive, and relationship-focused Programmes Coordinator to join our Academic Services team.

This is a varied and rewarding role where you'll work at the heart of academic administration, supporting key academic processes that underpin the student journey. From coordinating scholarships and prizes to supporting programme regulations, committee activities, and important student milestones, your work will help ensure students and academic staff receive high-quality support and service.

You'll collaborate with a wide range of stakeholders across the University, including academic leaders, programme advisers, central Academic Services, the Scholarships Office, and Student Hubs. No two days will be the same, and you'll have the opportunity to contribute to projects, process improvements, and initiatives that make a real difference.

This is an ideal opportunity for an experienced administrator who enjoys managing complex processes, building strong relationships, and delivering excellent service in a fast-paced environment.

Key responsibilities include:

  • Coordinating academic administration and regulatory processes across the faculty
  • Supporting scholarship, prize, and award processes, including application administration and committee coordination
  • Providing secretariat support for academic committees, boards, and examiner meetings
  • Coordinating programme and course maintenance activities, including regulation amendments and calendar updates
  • Supporting student academic milestone activities and complex enrolment processes
  • Building strong relationships with academic and professional staff across the University
  • Contributing to faculty projects, events, and continuous improvement initiatives
  • Delivering high-quality customer service and administrative support to a diverse range of stakeholders

This is a fixed-term role for 17 months, working 18.75 hours per week. The salary range for this role is $66,000 - $70,000 prorated per annum, depending on experience.

Whether you're coordinating an important committee meeting, managing academic programme information, or supporting students and staff, you're known for your professionalism, attention to detail, and ability to get things done.

You enjoy working both independently and as part of a collaborative team and are comfortable managing competing priorities while maintaining a high level of accuracy.

Ngā pūkenga motuhake | Important skills and experience

  • A bachelor's degree or equivalent experience gained through relevant work
  • Sound experience in using Microsoft Office, especially Excel
  • At least three years' experience delivering high-quality administrative support
  • Experience coordinating complex processes and managing competing priorities
  • Experience working effectively with a diverse range of stakeholders
  • Strong relationship-building and communication skills
  • Excellent organisational skills and attention to detail
  • Strong analytical and problem-solving abilities
  • Confidence using and navigating a variety of online systems and databases

The following would be beneficial:

  • Experience in a large and complex organisation
  • Committee secretariat or governance support experience
  • Experience within the tertiary education sector
  • Knowledge of academic administration processes
  • An understanding of Te Tiriti o Waitangi and a commitment to te reo Māori and tikanga Māori
