GENERAL DESCRIPTION:

The Program Support Assistant provides administrative and project support to the Regional Director of Head Start, while also supporting the Human Resources department with key administrative functions. This role serves as a liaison for Policy Council activities, coordinates program-related logistics, and assists with HR tasks such as recruitment, personnel file compliance, and employee onboarding. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

KEY RESPONSIBILITIES:

Program Support

  • Coordinate Policy Council meetings and trainings; maintain related documentation and files.
  • Collect monthly reports and compile the Policy Council packet.
  • Assist in updating policies and procedures based on input from HS leadership.
  • Schedule and confirm program-related meetings, conference calls, and travel arrangements.
  • Coordinate meeting logistics including room setup, materials, and meals.
  • Track Pre-Service budget and expenses; participate in Pre-Service Committee.
  • Develop and maintain program calendars and reports.
  • Submit required documents for Board meetings and grant applications.
  • Coordinate monthly staff recognitions and appreciation efforts.
  • Record minutes of meetings as needed.
  • Complete special projects and produce reports, charts, and timelines.

Human Resources Support

  • Assist with recruitment tasks including posting jobs, scheduling interviews, and reference checks.
  • Ensure compliance of employee files with regulatory requirements (e.g., TB, physicals, background checks).
  • Support new hire onboarding, including orientation and benefit package distribution.
  • Verify I-9 documentation and maintain accurate records.
  • Enter new hires into HR systems and upload documents to appropriate centers.
  • Assist with ECS4Kids recognition programs, staff training and employee appreciation events.
  • Perform clerical tasks such as filing, copying, and document preparation.
  • Respond to employee inquiries and provide general administrative support.

Requirements

QUALIFICATIONS:

  • Associate’s degree preferred.
  • 1–3 years of administrative experience required.
  • HR experience preferred.

SKILLS, KNOWLEDGE, AND ABILITIES:

  • Strong interpersonal skills and ability to build positive relationships with staff.
  • Ability to work independently and exercise sound judgment.
  • Proficiency in Microsoft Office.
  • Effective oral and written communication skills.
  • Ability to maintain confidentiality.
  • Excellent organizational and multitasking abilities in a fast-paced environment.

CERTIFICATIONS:

  • Complete TB screening & physical before having direct contact with children. Renew every 2 years.
  • Complete 15 hours of annual professional development training,
  • Valid driver’s license and proof of automobile coverage
  • Satisfactory Driving Record (as outlined in Vehicle Driving Policy)

ENVIRONMENTAL CONDITIONS:

  • Office and center-based settings.
  • Local travel to multiple sites required.

ESSENTIAL PHYSICAL SKILLS:

  • Prolonged sitting, bending, stooping, and stretching.
  • Normal range of hearing and vision.
  • Ability to communicate clearly.
  • Ability to lift up to 20 lbs.
