The Program Support Specialist II provides programmatic, administrative, and operational support for ELWB programs, fellows, staff, and external stakeholders. The position coordinates personnel, travel, training, recruitment, onboarding, procurement, and other program activities while ensuring accurate, timely, and responsive service.

Key Responsibilities

  • Coordinate ELWB fellowship and program activities and serve as a primary point of contact for staff, fellows, applicants, and visitors.
  • Process and track personnel, travel, training, procurement, timekeeping, and administrative requests.
  • Maintain accurate personnel, procurement, travel, applicant, and program records.
  • Coordinate onboarding and offboarding activities, including security, access, visitor passes, clearances, and required documentation.
  • Support fellowship recruitment, including applicant files, interviews, recruiting materials, scheduling, and communications.
  • Develop and deliver training and guidance on administrative processes, relocation, position selection, and program requirements.
  • Process stipend and insurance payments for international EIS officers and coordinate related documentation.
  • Respond to complex inquiries and provide timely guidance and customer support.
  • Coordinate meetings, conferences, training events, and special projects.
  • Track supplies and equipment and serve as an alternate property custodian.
  • Extract and analyze office/program data and prepare reports, correspondence, spreadsheets, and briefing materials.
  • Submit and track requests through CDC systems for travel, procurement, timekeeping, purchase cards, study tracking, agreements, access, and clearances.
  • Ensure requests are processed accurately and within established timelines and procedures.
  • Coordinate with DWD, MOST, and other stakeholders to resolve issues and support program operations.
  • Handle sensitive information and personally identifiable information (PII) in accordance with applicable requirements.

Requirements
  • Associate's or bachelor's degree in Business Administration, Public Administration, Management, or a related field, or equivalent experience.
  • 2+ years of experience providing program, administrative, or operational support.
  • Strong organizational, communication, customer-service, and problem-solving skills.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Strong attention to detail and commitment to accuracy.

Preferred Qualifications

  • Experience supporting federal government, HHS, CDC, or public-sector programs.
  • Experience with travel, personnel, procurement, training, recruitment, or fellowship administration.
  • Experience using enterprise systems such as Concur, TASNet, IFMS, STARS, ICE, MACCS, or similar systems.
  • Experience handling sensitive information and PII.
  • Ability to obtain and maintain a Public Trust background investigation.
