Job Summary:

Independently performs and coordinates a variety of substantive administrative and clerical program support and public contact work of a specialized nature in support of a major program; and performs other related duties as required.

Examples of Duties:

  • Assists specialists or supervisor with general housekeeping responsibilities;

  • Provides general information to individuals regarding procurement solicitation and application process;

  • Operates computer or mail processing equipment;

  • May oversee a minor component or function of a division or agency;

  • May perform a variety of postal services and package shipping and mailing activities such as sorting, weighing, packaging, delivering, metering, verifying, tabulating, and operating mail processing equipment;

  • May determine correct account, amount, and type of postage and most appropriate shipping and mailing methods;

  • Maintains and monitors cost, financial, inventory, manpower or other specialized reports for evaluative or other control-oriented purposes;

  • Reviews, classifies, and posts expenditures to appropriate accounts;

  • Prepares and processes accounting documents for receivables, expenditures, reimbursements, travel expenses, or deposits;

  • Takes periodic trial balances;

  • Assists in the dissemination of information concerning programs and services;

  • May review timesheets and maintain records of hours worked and leaves of absences;

  • Accepts cash payments for standard fees;

  • Provides written receipts;

  • Reconciles balances;

  • Prepares treasury/deposit receipts for processing;

  • Composes routine correspondence and letters of acknowledgement from general instructions;

  • May assist with group presentations; and

  • Performs other related duties as assigned.

Minimum Qualifications:

Training and Experience: 

A combination of education and experience substantially equivalent to graduation from high school; and

  • one (1) year of clerical experience, and

  • two (2) years of specialized work experience pertinent to that of the department’s programs and activities.

Qualifying Clerical Experience:

Work experience which involved the performance of a variety of clerical tasks and demonstrated knowledge of office practices and procedures, and the ability to carry out procedures in clerical work systems, and operate various kinds of office equipment including computers, Microsoft Office, and other technologies.

Skills Required

  • Graduation from high school or equivalent
  • One year of clerical experience
  • Two years of specialized work experience pertinent to the department's programs and activities
  • Knowledge of office practices and procedures and ability to operate computers and Microsoft Office and other office technologies
