Job Summary

The Program Manager for Faculty Training & Enrichment is responsible for supporting the planning, coordination, implementation, and evaluation of faculty and trainee training and enrichment initiatives across the AMC Department of Medicine. Working under the direction of the Senior Director of Faculty Affairs, this position partners closely with the Vice Chair for Faculty & Trainee Enrichment and other department leaders to coordinate faculty training and enrichment programming, mentoring initiatives, educational events, communications, and operational projects that enhance faculty engagement, professional growth, and career advancement.
In addition, the Program Manager provides Faculty Affairs support for assigned clinical divisions and departmental initiatives, including academic writing and faculty promotion activities, and serves as the departmental administrator for the Online Letter Request Portal (OLRP), ensuring the efficient coordination and tracking of external referee letters and promotion workflows. The position also supports administrative and operational functions that advance the strategic priorities of the AMC Department of Medicine.


 

Qualifications

Faculty Training & Enrichment

Coordinate and support faculty and trainee training and enrichment initiatives in partnership with the Vice Chair for Faculty & Trainee Enrichment. Assist with the planning, implementation, and evaluation of mentoring programs, faculty training and enrichment activities, workshops, seminars, and educational programming. Develop meeting materials, presentations, communications, reports, agendas, and other resources to support faculty training and enrichment initiatives. Coordinate faculty engagement activities, networking events, recognition programs, and special initiatives that foster an inclusive, collaborative, and enriching faculty environment. Monitor program participation, outcomes, and performance metrics, and prepare reports for department leadership. Collaborate with faculty, administrators, and institutional partners to support faculty training and enrichment priorities.

Faculty Affairs Support

Serve as the Faculty Affairs liaison for assigned clinical divisions. Provide academic writing, editing, and project management support for faculty appointment and promotion activities. Coordinate the preparation, review, and submission of faculty appointment and promotion materials in accordance with institutional and Harvard Medical School guidelines. Partner with faculty, division administrators, and department leadership throughout the appointments and promotions process. Support faculty appointments, reappointments, promotion process, and other strategic Faculty Affairs projects as assigned.

Online Letter Request Portal (OLRP) Administration

Serve as the departmental administrator for the Online Letter Request Portal (OLRP). Coordinate external referee letter requests for faculty promotion cases. Monitor promotion timelines and ensure timely completion of OLRP milestones. Provide training and support to faculty, division administrators, and reviewers utilizing the OLRP. Develop reports, maintain system documentation, monitor portal activity, and recommend workflow improvements. Collaborate with Faculty Affairs leadership and technical partners to enhance portal functionality and operational efficiency.

Operations, Communications & Administrative Support

Coordinate faculty training and enrichment meetings, educational programming, and departmental events, including scheduling, logistics, materials, and follow-up. Prepare presentations, newsletters, website content, reports, and departmental communications. Maintain program records, databases, and documentation while ensuring confidentiality and data integrity. Process program-related administrative functions, including purchasing, reimbursements, travel coordination, vendor management, and event logistics. Support strategic initiatives and special projects for the Senior Director of Faculty Affairs and the Vice Chair for Faculty & Trainee Enrichment.

Qualifications

  • Bachelor’s degree required; Master’s degree preferred.
  • Minimum of three years of progressively responsible experience in faculty affairs, academic medicine, higher education administration, healthcare administration, program management, or a related field.
  • Experience supporting faculty training and enrichment initiatives, academic promotions, educational programming, or faculty affairs operations preferred.
  • Demonstrated project management experience with the ability to manage multiple priorities and deadlines.
  • Excellent written communication, editing, organizational, and analytical skills.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
  • Experience with Workday, faculty information systems, or other enterprise applications preferred.
