Job Summary
Program Coordinator, Clinical Operations, MGB Anesthesiology at Brigham and Women's Hospital:Responsible for monitoring multiple project activities, managing documentation, and facilitating communication among team members to ensure the successful execution of projects. Tracks and ensures that the schedule, budget, and details of project tasks are well-organized. Analyzes data, prepares reports, and provides regular updates to the project team. Identifies and escalates issues and risks and recommends solutions. Leads and provides guidance and support to other administrative team members.
Essential Functions:
- Takes the lead in maintaining and monitoring multiple project plans, schedules, work hours, budgets, and expenditures.
- Organizes, attends, and participates in stakeholder meetings.
- Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Assesses and escalates project risks and issues, providing solutions.
- Conducts research, maintains and analyzes data in systems, and develops reports to support projects.
- Liaise with the project team and key stakeholders to help define project requirements, scope, and objectives that align with organizational goals.
- Assigns and monitors resources effectively to boost project efficiency and maximize deliverables.
Qualifications
- Bachelor's degree required.
- Project management or project support experience 1-2 years is required.
- Ability to prioritize, delegate, and manage multiple projects and responsibilities simultaneously.
- Basic financial/accounting skills.
- Strong oral and written communication skills.

- Reports to the Senior Administrative Manager, Clinical Operations, BWH.
- Lead comprehensive ICU scheduling operations for residents/Physician Assistants and aspects of scheduling for fellows, attendings, including daytime and overnight coverage; oversee schedule streamlining and process improvement.
- Create, distribute, and maintain monthly and live schedules (master and unit-specific), ensuring accuracy, coverage, and timely ad hoc updates.
- Serve as primary point of contact for ICU schedule communications, including welcome materials, distribution lists, and virtual pager inputs.
- Coordinate schedules and resolve issues with department chiefs, unit directors, fellowship leadership across multiple clinical departments.
- Coordinate departmental programs, which may include HealthStream training assignments, reporting, and compliance-related programs and tasks; identifies and executes opportunities for process improvement.
- Provide comprehensive administrative support for BWH Clinical Operations leadership team.
- Respond to data and reporting requests, supporting clinical operations and leadership administrative needs.
- May provide cross-coverage for ICU activities across AMC sites.
- Performs other related duties as assigned.
