Summary
They main role in production would be to oversee inventory control as well as liaison between vendor and sales manager to relieve them from floor coverage and manage install process. Understand clients wants and needs. Maintain an open line of communication between Resort Departments. Keeps all production administration organized and up to date with all pop ups and changes. Direct vendors on site during installs. They must be comfortable with using a lift and are not afraid of heights. They are also comfortable with driving a van and box truck. Must be good at multitasking. Ensure manager has accurate and efficient clerical and administrative support as needed. They must have a flexible schedule.
Essential Functions
Job duties include, although are not limited to:
Attend Tuesday Production Meetings as needed.
Attend social meetings weekly.
Attend Pre cons as needed
Follow up on nightly recaps and update inventory regularly.
Daily cross check and monitor of load sheets and follow up for missing and returned items.
Develop tracking system for missing, broken or damaged items.
Oversees maintenance and inventory of décor and some floral product materials.
Organizes monthly and annual inventories in conjunction with Floral Manager
Assist with diagram layouts for vendor items and bbd elements.
Assists with managing the daily logs of usage for transportation vehicles.
Answer all calls in a friendly and professional manor, providing information, taking accurate messages or route calls accordingly.
Assist with all documentation for Friday’s meeting same as Tuesday’s meeting with final changes and revisions.
Keep work area organized,
Track and maintain all pictures of inventory. Photo inventory to be always kept up to date.
Maintain filing and tracking system for all incoming and outgoing paper flow.
Maintain a safe working environment. Report and correct, if possible, any unsafe acts or conditions.
Perform other related duties as assigned or requested by supervisors/managers.
Safety committee representative for dept
Vehicle Inspections and safety regulations kept up to date.
Internal Relationships
Works closely with Boca by Design managers and associates, Resort managers, guest, clients.
External Relationships
Has regular contact with vendors, clients, members and guests.
Qualifications
- Understand/Speak/Read/Write English fluently
- Must have reliable transportation and a flexible schedule.
- Two Years Event Experience necessary
- Comfort level of driving a BBD truck. Valid driver’s license.
- Have experience with supervising associates
Education/Experience Requirements
- Minimum 2 years experience in clerical. Typing at 65WPM, letter composition, word and excel experience with MS Word, Excel and up to date computer skills. Understand/Speak/Read/Write English fluently. Excellent communication and presentation skills. Occasionally lift/carry up to 50 lbs. Must be able to sit, stand, stoop or bend for duration of shift(at least eight hours).

- Comfort with ladder usage and heights.
