The Procurement Specialist plays a key role in supporting Tricentis' global procurement operations. This role is responsible for managing the end-to-end purchase-to-pay process, including processing purchase requisitions and purchase orders (POs), sourcing competitive vendor pricing, negotiating contracts, reviewing legal and compliance documentation, and serving as a primary liaison between internal stakeholders and external vendors. The Procurement Specialist ensures that all purchasing activities align with internal policies, cost objectives, and compliance requirements.

The ideal candidate is a self-starter who takes full ownership of their work, balances operational day-to-day responsibilities with strategic projects, and continuously looks for ways to improve processes and drive efficiency. They bring intellectual curiosity, strong attention to detail, a bias toward action, and a genuine interest in how emerging technologies — including AI — can enhance procurement operations.

Essential Duties & Responsibilities

Procure-to-Pay (P2P) Process Management

• Manage the full procure-to-pay cycle with attention to detail, including:

• Entering and processing purchase requisitions in Zip

• Creating and issuing Purchase Orders (POs)

• Coordinating vendor confirmations

• Collaborating with Accounts Payable to ensure timely and accurate payment

• Effectively balance a high volume of operational purchase requests alongside longer-horizon procurement projects and initiatives.

• Monitor and resolve purchasing issues, taking full ownership of assigned requests from initiation through resolution.

• Manage contract signature workflows using DocuSign, ensuring timely execution and proper record retention.

Sourcing & Supplier Negotiation

• Negotiate pricing, contract terms, and renewals in accordance with internal policies and procurement best practices.

• Proactively manage contract renewal timelines, ensuring business owners are engaged well in advance of key deadlines.

• Conduct market research and solicit competitive vendor quotes to support sourcing decisions.

Relationship Management

• Build and maintain strong relationships with preferred global suppliers and internal stakeholders.

• Notify internal customers and vendors of upcoming contract renewals and relevant procurement milestones.

• Provide sourcing and procurement guidance to cross-functional teams including Legal, IT, Finance, Security & Risk, and Marketing.

• Respond to stakeholder and vendor inquiries in a timely and professional manner, maintaining clear communication throughout the purchasing process.

• Act as the primary point of contact for procurement and sourcing process questions from internal stakeholders.

• Provide training and guidance to employees on procurement tools, policies, and procedures.

• Support internal stakeholder purchase requests through the Zip procurement platform.

Financial Reporting & Analysis

• Generate and maintain financial reports covering spend analysis, cost savings, and cost avoidance tracking.

• Create and update procedural forms and templates as needed to support process consistency.

Travel & Program Support

• Support employee and corporate travel needs

• Assist in program and project management initiatives as required by the procurement function.

Qualifications

Required

• 3+ years of procurement, sourcing, or supply chain experience

• Demonstrated ability to work independently, self-prioritize, and take full ownership of projects from start to finish

• Strong attention to detail with a track record of accuracy in high-volume, fast-paced environments

• Proven ability to manage concurrent operational tasks and strategic procurement projects without sacrificing quality or responsiveness

• Fluency in English with strong written and verbal communication skills

• Solid business acumen with the ability to navigate complex, cross-functional environments

• Effective communication skills across oral, written, and presentation formats

• Microsoft Excel experience

• Experience with procurement or P2P platforms (e.g., Zip, Coupa, SAP Ariba, or similar)

• Genuine curiosity and a continuous improvement mindset — always looking for better ways to get things done

Preferred

• Bachelor's degree in Business, Supply Chain, Finance, or a related field

• Experience across multiple procurement categories, including professional services, consulting, marketing, technology, and travel

• Familiarity with contract management tools

• Knowledge of procurement compliance requirements, including vendor risk management and data privacy considerations

• Exposure to AI tools or automation platforms relevant to procurement

• Experience driving or contributing to process improvement initiatives within a procurement or operations function
