PURPOSE/OBJECTIVE:
To assist with procurement activities related to supply ordering, purchase requisitions and the issuance of purchase orders. General mail facilitation to support branch supply orders. Facilitation and execution of user set ups with vendors. Provides support to the buyers as needed ensuring documentation is captured as required, including W9’s.
MAJOR RESPONSIBILITIES:
Review purchase requisitions for accuracy and completeness and generate purchase orders in accordance with established policies to support timely procurement of goods and services.
Monitor warehouse supply levels and reorder materials to ensure adequate inventory and uninterrupted operations.
Maintain and manage user access for warehouse and office supply vendor systems, ensuring appropriate access and system accuracy.
Process invoices and assign appropriate general ledger codes to ensure accurate financial recording and compliance with accounting standards.
Investigate and resolve branch-level supply issues, coordinating with vendors and internal teams to ensure timely resolution and continuity of operations.
Provide responsive phone and email support to internal business partners regarding supply orders, status updates, and related inquiries.
Reconcile departmental corporate credit card transactions, ensuring accuracy, proper documentation, and adherence to company policies.
Assist in coordinating records retention activities, including facilitating secure document destruction in compliance with regulatory and organizational requirements.
PROBLEM SOLVING & DECISION MAKING:
The role follows established procedures and guidelines to complete routine purchasing, invoicing, and administrative tasks with a high degree of accuracy and attention to detail. Independent judgment is used to prioritize work, resolve routine issues, and ensure data accuracy, while more complex problems or exceptions are escalated to management for guidance. Decision-making authority is limited to day-to-day operations within defined policies and processes.
REQUIREMENTS:
Education and Experience:
High school diploma or equivalent require
Prior administrative, operations, or office support experience preferred
Skills/Knowledge:
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook
Strong organizational and time management skills
Ability to communicate effectively with internal teams and external partners
Attention to detail and accuracy in completing tasks
Working Conditions:
This role operates in a standard office environment with regular business hours and involves frequent computer-based work, coordination with internal teams and vendors, and occasional interaction with warehouse operations. The position may be performed in a hybrid work environment, with a combination of in-office and remote work based on business needs.
Physical Demands:
While performing the duties of this job, the employee must be able to remain in a stationary position 50% of the time. The employee frequently is required to operate a computer and other office productivity machinery, such as a calculator, copy machine, and printer. The employee is occasionally required to move about inside the office to access file cabinets, office machinery, etc. They also occasionally travel to locations outside of the facility, to attend meetings, trainings, events, and other business activities. The employee occasionally positions self to maintain or access files in file cabinets. The employee must have the ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations. The employee frequently observes details at close range (within a few feet of the observer). The employee must occasionally lift and/or move boxes or equipment up to 20 pounds across office for various needs.
Work Environment:
Persons holding this position are generally subject to inside environmental conditions having the lighting, temperature, and noise level of an open floor-plan office environment (moderate, but occasionally loud at times). This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
