This is where you and your skills come in. We’re currently looking for:  Procurement Desk Analyst

The Procurement Desk Analyst role will play a key role in daily transactions that will enable procurement of goods and services across the entire organization. This role is essential to the efficiency and success of the Procurement Operations function in our organization.

  • Ticketing Management. Handling request forms through the ticketing system and following through to close of the ticket. Intaking requisitions for supplier onboarding and management, purchase request validation and entry
  • Contract and Order Management - Confirming completion of contracts/order forms before submitting for PO and Legal review. Aiding in general “digitization” of vendor onboarding and supplier PO to invoice process. Reviewing contracts/order forms for completeness, submitting contracts/order forms for Legal review. Validating all contract objectives/goals are met for each category of spend. Identifying gaps in the Procurement Desk process to create more efficient processes
  • Create, Review and Update Purchase Orders - Creating of Purchase Orders in NetSuite to ensure timely order submission. Must confirm all details on the supplier’s quotations are correct and match with the Purchase Order details in the system, including: Description of Services, Contract start/end dates (service period), GL coding, Quantity, Total Amount. Updating Purchase Orders when there are changes on the quotation or other business requirements. Assist the Accounts Payable team in PO-invoice matching and other procurement related activities as needed. Onboarding and validation of suppliers/vendors in the ERP system (NetSuite)
  • Reports Management - Providing reporting metrics to other teams that leverage Purchase Order data. Preparing the month-end review of all open Purchase Orders. Sending follow up emails to Managers for Purchase Orders that are still pending approval. Providing updates to business partners on the status of their Procurement and Legal request. Assisting in special projects such as year-end Blanket PO process, approvals, and other ad-hoc projects.
  • Vendor and Stakeholder Management. Liaising between internal and external stakeholders on items related to PO and contract requests. Managing and maintaining Vendor Master ensuring that vendor’s records are up to date with modifications, categories, remittance details, deactivations, and audit compliance. Call/email supplier’s bank representatives to verify the supplier’s update to payment details to mitigate fraudulent activity.

To succeed in this role, you must have experience in:

  • At least 3 to 5 years of Relevant work experience
  • Proficiency in Excel, Coupa, and NetSuite is essential
  • Excellent vendor management and communication skills

Desired Qualifications:

  • Bachelor’s Degree in Business Management, Accounting, Finance, Supply Chain or similar
  • Knowledge in relevant systems. NetSuite ERP, or similar ERP, Concur Technologies, FreshService, or similar ticketing service platform, DocuSign, or similar contract management software.
  • Purchase Order and Contract Management.Experience in creation of Purchase Orders and dealing with external suppliers.Experience in reviewing contracts and service agreements. Knowledge of general contract terms and conditions.
  • Stakeholder Management and Communication Skills - Strong verbal and written communication skills. Excellent interpersonal skills and ability to interact effectively with both external and internal stakeholders including vendor management
  • Analytical and Reporting skills - Ability to generate reports and using Excel (vlookup, pivots etc) for a key HR programs on a recurring basis, also responsible for ad hoc reporting and analysis. Highly proficient in MS Office suite - especially MS Excel and MS PowerPoint.
  • Willing to work on night shift ( starting from 9am - 6pm )
  • Willing to work on hybrid setup (10-11 days in office per month, Cubao or Ortigas)
