Primary Purpose
Supervises activities related to the generation, maintenance, and distribution of purchasing and production records and data into the Linen Services Department.
MINIMUM SPECIFICATIONS
Education
- Must have Associates degree in Business Administration or related field
Experience
- Must have four years of experience in procurement and/or production data to include two years related supervisory experience.
Equivalent Education and/or Experience
- May have an equivalent combination of education and/or experience in lieu of specific education and/or experience as stated above.
Certification/Registration/Licensure
- None
Skills or Special Abilities
- Must be able to successfully pass an Intermediate-level Microsoft Word, & Excel test, as established by Employment Services, with a minimum score of 80%.
- Must demonstrate ability to master production tracking and analysis in addition to related software.
- Must demonstrate strong verbal and written communication, time management and organizational skills.
- Must demonstrate good leadership and supervisory skills.
- Working knowledge of Microsoft Access preferred.
Responsibilities
- Selects, trains, motivates, supervises and/or evaluates assigned staff to ensure maximum utilization of individual and group capabilities, while providing optimal service to both internal and external customers. Ensures that assigned employees receive opportunities to further their knowledge.
- Researches, assembles, summarizes and compiles data for reports and presentations. Produces monthly linen utilization reports and distributes to designated hospital staff.
- Reviews requisitions from department staff for completeness and accuracy. Trains department personnel in the proper completion of requisition forms to help efficiently minimize time required to obtain needed supplies.
- Performs follow-up and expediting of purchase orders to ensure timely delivery, including emergency orders.
- Researches PO problems to locate and correct deficient deliveries through activities such as contacting receiving, verifying packing slip signatures, contacting vendors, etc. in order to ultimately refer closed purchase orders to the Accounting department for payment.
- Supervises the data entry process for productivity tracking, shipping/receiving systems, purchasing requisitions, quality checks and other data processed by assigned staff.
- Monitors and tracks staff productivity and quality through periodic audits of productivity and other related data.
- Identifies and analyzes the design of jobs, work processes and workflows for assigned areas of responsibility. Implements appropriate changes to improve effectiveness, productivity and efficiency that support the overall goals of the department and Parkland.
- Maintains a positive working relationship with internal and external customers and coworkers to complete work efficiently.
- Stays abreast of latest developments in the laundry industry by attending meetings and in-service sessions, and integrates knowledge gained into current work practices.
- Maintains knowledge of applicable rules, regulations, policies, laws and guidelines that impact Linen Services and adheres to internal controls to ensure compliance. Seeks advice and guidance as necessary to ensure proper understanding.
- Develops, implements, monitors, and revises goals and objectives for the assigned area that support the missions and objectives of Parkland.
