Full time procurement and billing coordinator position is responsible for ordering materials and supplies needed to install orders per customer’s specifications, serve as liaison between credit and production scheduling at the factory, modifying sales orders as directed by the branch, billing jobs, liaison with company invoicing team, and support and maintain billing reports. Participate in daily and weekly operational calls.
What You Will Do:
- Provide support for branches by handling inward facing responsibilities freeing the branch to focus externally primarily involving but not limited to:
- When notified by branch job is complete (ready to bill) bill/post packing slip for the job in D365 ensuring all necessary paperwork (JCS/photos) is attached in the appropriate time frame.
- Communicate any material related issues to the salesperson and Installation Coordinator/Service Dispatch Supervisor and work with them to clarify material requirements as needed.
- Verify that job is completed per company policy/Sarbanes Oxley.
- Review inventory used & confirm with branch any changes necessary on the Sales Order in D365.
- Enter the Door ID’s into D365 with warranty and door location information.
- Order all necessary material for the installation and service in the appropriate time frame.
- Issue the STO or PO for the material needed for installation and service.
- Work with the factory with on any Class I or Class II material related issues.
- Work collaboratively to resolve problems with branch, finance, and or billing.
- Take part in new initiatives and handle special projects supporting the branches and Central Operations.
What You Need to Succeed:
- High School Diploma or Equivalent education required
- 1+ year of coordinating experience in a construction or industrial environment.
- Undergraduate degree preferred or equivalent coordinator experience in a construction or industrial environment
- Ability to work in a fast-paced environment
- Strong business acumen
- Excellent computer and communication skills, D365 Experience Preferred:
- Excellent interpersonal skills
- Detail Oriented
- Excellent multi-tasking ability
- Flexible work schedule is a must with the ability to work nights and/or weekends as necessary.
- Able to work effectively in remote setting
