The Role

The Procedures Officer is responsible for leading document control and procedure development activities across multiple divisions and regions. This role ensures that policies, procedures, plans, and supporting documentation are developed, maintained, and controlled under a rigorous document control system while remaining accessible and user-friendly for operational teams. The position works closely with regional and departmental stakeholders to support regulatory, certification, and internal compliance requirements.

Key Responsibilities:

Document Control & Governance

  • Lead and maintain document control processes to ensure accurate versioning, traceability, approval workflows, and archival of controlled documents.
  • Manage the document library using SharePoint and internal servers, enforcing document control standards and access protocols.
  • Ensure controlled documents are published, distributed, archived, and retired appropriately.

Procedure & Plan Development

  • Coordinate with cross-functional teams across divisions and regions to develop, update, and maintain: 
    • Farm Management Plans
    • Standard Operating Procedures (SOPs)
    • Work Instructions
    • Policies, statements, and other operational or compliance documentation
  • Collaborate closely with regional Compliance Officers and departments including Health & Safety, Fish Health, Large Vessels, Freshwater and Saltwater Production, Certification, and other relevant teams.

 Process Understanding & Stakeholder Engagement

  • Communicate frequently and effectively with subject matter experts to fully understand operational processes.
  • Use a variety of methods to gather information, including interviews, document reviews, and in-field observation and learning.
  • Transform operational activities into clear, accurate, and usable procedures and work instructions.

Review, Approval & Continuous Improvement

  • Coordinate cross-departmental reviews of draft documents and follow up with stakeholders to ensure timely feedback and completion.
  • Assist with updating, publishing, and distributing procedures and plans in collaboration with the Certification team to ensure compliance with regulatory and third-party certification requirements.
  • Conduct, at minimum, annual reviews of externally shared policies and statements in collaboration with subject matter experts.

Qualifications & Skills

  • Proficiency in the Microsoft Office Suite, including Word, Excel, Teams, and SharePoint.
  • Demonstrated experience with shared document editing, version control, and document control best practices.
  • Strong attention to detail with the ability to manage multiple documents and deadlines simultaneously.
  • Effective time management and project management skills.
  • Excellent written and verbal communication skills, with the ability to work across technical and operational teams.
  • Comfortable working independently while coordinating with multiple internal stakeholders.

Preferred Experience

  • Background in compliance-driven environments such as aquaculture, agriculture, manufacturing, health & safety, or regulated industries.
  • Familiarity with regulatory and third-party certification frameworks.
  • Experience supporting or administering controlled document management systems.
