FACILITY MANAGER FRANCE


The Facility Manager is responsible for overseeing the efficient and effective operation of all aspects related to the physical environment of an organization. This role involves managing facilities, ensuring a safe and functional work environment, and coordinating various services to support the organization's overall goals. The Facility Manager plays a crucial role in optimizing space utilization, managing maintenance activities, and fostering a secure workplace.


Responsibilities:

Facility Maintenance:

For the 3 locations (Rueil Malmaison, Lyon and Lille) – Rueil Malmaison being the primary location where the employee would be working.  Lyon and Lille are smaller training facilities that require less oversight.

Develop and execute preventative maintenance programs for building systems, equipment, and infrastructure.

Manage, coordinate and oversee repairs, renovations, and facility improvements.

Manage relationships with vendors and service providers for maintenance and repair services.

Negotiate contracts/fees locally when needed

Manage purchase & maintenance of office equipment and office supplies

 

Health and Safety Compliance:

Ensure compliance with health and safety regulations and standards in partnership with HR.

Implement and monitor emergency procedures and evacuation plans.

Conduct regular safety inspections and address potential hazards promptly.

Lead local negotiations and discussions


Security Management:

Maintain security protocols to safeguard the facility, employees, and assets.

Manage access control systems, surveillance, and alarm systems. Work with security firm to ensure proper functioning systems are on-line

Collaborate with security personnel to address any security concerns.


Budget Management:

Assist with the local facility budgets, including operating expenses and capital expenditures.

Identify cost-saving opportunities without compromising safety or functionality.


Environmental Sustainability:

Implement eco-friendly practices and initiatives to promote sustainability.

Identify and pursue opportunities to reduce the organization's environmental impact.


Vendor and Contractor Management:

Facility lease management / Maintain good rapport with landlords as needed

Source and negotiate contracts with vendors and service providers.

Oversee the performance of contractors, ensuring work meets quality standards and is completed on time and within budget.

Assist with management of our leased vehicle fleet across EMEA


Communication and Collaboration:

Collaborate with various departments to understand their facility-related needs.

Communicate effectively with employees, management, and external stakeholders regarding facility-related matters.


Record Keeping and Documentation:

Prepare Purchase Orders and review invoices for approval within the Coupa System

Maintain accurate records of facility-related activities, including maintenance schedules, contracts, and safety inspections.


Qualifications and Skills:

Bachelor's degree in Facility Management, Business Administration, or a related field.

Proven experience in facility management or a related role.

Strong knowledge of building systems, construction, and maintenance.

Excellent organizational, communication, and leadership skills.

The Facility Manager plays a critical role in ensuring a conducive and well-maintained environment for the organization, contributing to overall operational success.
