VacatureomschrijvingAre you organized, detail-oriented and eager to learn? Join the BESIX Estimating Department in Brussels as a Prequalification Officer / Administrative Assistant.
In this role, you will support the preparation and management of prequalification dossiers that help BESIX win exciting construction projects in Belgium and abroad. Working closely with experienced colleagues, you will develop your administrative, coordination and document management skills while gaining valuable insight into the tendering process.
You will initially focus on document management, project references, SharePoint administration, translations, signatures and administrative support for the Prequalification team.
Your role:
- Keep our prequalification database, project reference library and document management systems accurate, reliable and ready to use.
- Support the continuous improvement of our digital document management environment, including SharePoint, document databases, templates and AI-assisted knowledge management.
- Prepare and update key documents such as project sheets, certificates, attestations, CVs and supporting documentation.
- Support the preparation, review, assembly and submission of high-quality prequalification dossiers.
- Coordinate translations and ensure multilingual document libraries remain complete and up to date.
- Coordinate approvals, signatures and administrative formalities to keep submissions on track.
- Review documents carefully for accuracy, consistency, completeness and compliance with client requirements.
- Reports to the Prequalification Manager
- Works closely with Business Development, Estimating, Legal, Communication, Finance, HR and project teams and support departments.
- Bring energy, reliability and fresh ideas to a collaborative team culture that values continuous improvement.
- You have a bachelor’s degree in Office Management, Business Administration, Law or a similar field.
- You have 0-3 years experience in administration, document management, proposal support, tender support or a similar environment.
- Experience in document management systems, administrative support, legal administration or records management, proposal support or tender support is a plus but not a must.
- You have an interest in construction, engineering, infrastructure or large-scale project environments.
- You feel confident using Microsoft Office applications, including Word, Excel, Outlook, Teams and SharePoint.
- You communicate fluently in Dutch, French and English, both written and spoken.
- You enjoy bringing order to information and have a sharp eye for layout, accuracy and detail.
- You are organized, reliable and able to juggle several tasks and deadlines without losing focus.
- You are eager to contribute to the development and maintenance of our digital knowledge base and document management systems.
- You are interested in improving digital document management practices, including SharePoint, document databases, templates and AI-assisted knowledge management.
- You are curious, proactive and excited to learn in a team that will support your development.
- You enjoy teamwork and know how to coordinate smoothly with different internal stakeholders.

Skills Required
