POSITION SUMMARY

Responsible for supporting day-to-day mortgage servicing operations, including mail handling, cheque processing, file closures, and document management. Ensures accuracy, timeliness, and adherence to service standards while collaborating with internal teams and external vendors.

MAJOR ELEMENTS OF THE ROLE

Key accountabilities of this position include:

  • Assign tickets promptly via ServiceNow to ensure timely processing and resolution.

  • Manage the daily scanning of physical mail and cheques, ensuring accuracy, efficiency, and adherence to turnaround timelines.

  • Ensure files are closed in the application in a timely manner after discharge, in accordance with process requirements and deadlines

  • Process mortgage overpayments cheque reconciliation and handover with finance.

  • Collaborate with vendors to ensure timely and accurate weekly mailing of communication letters in line with service standards.

  • Review and action returned mail (including overpayment cheques and annual statements), validate addresses against system records, and collaborate with reception to ensure accurate and timely re-dispatch.

  • Maintain and organize legal documents and mail in cabinets, ensuring records are current, and conduct periodic reviews to retain or securely discard documents in line with policy.

  • Support the team with ad hoc tasks including payout and information statements and    refinance file setup during high-volume periods.

  • Perform additional duties as assigned.

  • Provide support on high-priority or time-sensitive assignments across functions as required.

SKILLS AND EXPERIENCE REQUIRED

Qualifications:

  • A University Degree or College Diploma

  • Strong organizational and time management skills.

  • Ability to handle multiple tasks and meet deadlines.

  • Experience in operations or administrative roles preferred.

  • High attention to detail and accuracy.

  • Ability to work in a fast-paced environment.

  • Strong communication and teamwork skills.

  • Knowledge of document management and record retention.

  • Proficiency in Microsoft Office (Excel, Outlook, Word).

  • Strong problem-solving and ownership mindset.

  • Ability to handle confidential information responsibly.
