Position Summary:
Provide executive‑level administrative support to DMCN and other executives as required.
Support, coordinate and administer meeting calendar, meeting and travel coordination, visitor support, reports and presentations, document & information management, and other administrative support functions.
Duties & Responsibilities:
Maintain and monitor executive calendars, resolve scheduling conflicts.
Coordinate travel arrangements and on-site logistics, for President and DNJP visitors.
Arrange meetings including invitations and catering, attendance confirmation, and meeting space.
Compile company‑wide data from sources including NA and Global policy database and governance standards.
Schedule and support monthly executive review meetings and take minutes.
Ensuring appropriate review, approval, and issuing of new or revised documents for operations. Maintaining logs to track changes and document numbers. Uploading relevant documents and revisions to NEXUS.
Coordinate executive dinners, celebrations by arranging venues, catering, gift purchases and related logistics.
Company vehicle management and control
Schedule variety of executive meetings, take minutes, and maintain records.
Administer Spotlight recognition summary and GGG award.
Process travel letters for visitors to/from DMCN.
Minimum Education Qualifications (Required):
- High School Diploma or equivalent.
Experience Requirements:
1 – 3 years relevant experience
Competencies, Skills and Abilities
Proficiency in Microsoft Excel, PowerPoint, and Word
Demonstrated organizational and administrative skills, including data management and document control.
Ability to receive directions from multiple leaders and prioritize tasks to meet deadlines.
Strong communication skills.
Ability to anticipate needs, solve problems, manage multiple priorities and work independently.
Strong attention to detail.
Ability to translate Japanese to English and English to Japanese is preferred.

Range of Expected Annual Salary, inclusive of discretionary annual bonus: $43,878 – $54,070
