The Shift Planner is responsible for coordinating and optimizing workforce planning to ensure safe, efficient, and compliant operations and to deliver on the output demand. The role integrates shift planning, training coordination, onboarding, and workforce administration in a dynamic environment with both permanent and contingent workers. In this role you will report directly to our operations Manager. On a daily base you will be in contact with the Production Manager and Shift Managers as well with our Contingent Service agency and HR.
Key Responsibilities:
Shift Planning & Workforce Coordination
- Develop and maintain accurate shift schedules in alignment with production needs
- Ensure optimal staffing levels with qualified personnel per shift
- Coordinate workforce deployment in collaboration with Shift Supervisors
- Align planning with contingent workforce agencies to ensure flexibility and coverage
- Anticipate, monitor, and resolve staffing gaps due to operational changes
Training Planning & Coordination
- Schedule mandatory safety training in line with compliance requirements in collaboration with our HSE team
- Plan and coordinate operator training programs to ensure skill readiness
- Integrate training activities into shift planning without disrupting operation
Onboarding of New Operators
- Plan and organize onboarding programs for new employees in Operations
- Support and guide new operators during their onboarding phase
- Ensure timely completion of onboarding and training to accelerate deployment
Workforce Administration & HR Coordination
- Ensure accurate registration and reporting of worked hours for payroll processing
- Coordinate with HR to guarantee compliance with administrative requirements on mandatory hours and salary administration
- Maintain up-to-date workforce data
Capability & Development Tracking
- Maintain an overview of employee skills, certifications, and development status
- Track training completion and workforce capabilities to support planning decisions
- Provide insights into workforce readiness and development needs
Absence and Leave Management
- Monitor and manage workforce availability, including vacations, sickness, and other absences
- Ensure timely backfilling of shifts in case of absenteeism to maintain operational continuity
- Support the coordination of absence planning and contribute to effective absence management
- Provide visibility and reporting on absence patterns to support operational decision-making
