Job Description Summary:

Position Responsibilities
  • Supervises staff on a daily basis to ensure accuracy and completeness of all operations within the department.                                                                                                   
  • Completes a timely evaluation for each assigned staff on an annual basis or as stipulated.
  • Conducts meetings with staff to keep them appraised of any changes on office policies or procedures.                                                                                               
  • Follows the practice policy on assisting with credentialing and re-credentialing for providers.       
  • Monitors and completes UKG/KRONOS for staff and ensures that any overtime is approved prior to occurring.                                                       
  • Schedules staff accordingly with the help of the Chiefs and Medical Directors.                  
  • Regularly monitors office for JCAHO compliance.                             
  • Attends monthly staff meetings with Physician Administration.                   
  • Manages the Hospitalist Directors and Chief of Critical care calendars, meetings, travel and department correspondence.            
  • 18. Maintains accurate physician time off, on-call and conference schedules.                     
  • When necessary, prepare reports, presentations, agendas and meeting minutes.  
  • Maintains confidential personnel, credentialing, compliance and departmental records.
  • Provides daily census and assignments to Medical Directors and leadership.
  • Coordinates with physicians, coding teams and billing departments to resolve billing issues.
  • Resolves problems and physician and staff concerns with confidence.                    
  • Ensures timely physician completion of records, signatures, orders, death certificates and clinical documentation.                                                          
  • Assists with provider onboarding, EMR access, orientation and training.                
  • Responsible for ensuring that par levels of office supplies are kept.                                    
  • Provides assistance during scheduling emergencies and operational disruptions.
  • Responsible for completing and submitting Audit Tracer to Physician Administration on a monthly basis.  
  • Monitors credentialing status, document completion, provider signatures and operational compliance requirements.                                     
  • Performs other departmental specific job responsibilities as needed.

    • Technical or Associate Degree is preferred
  • Experience
    • 1-3 years experience in a physician practice/healthcare setting or other relevant supervisory experience preferred
