Position Summary:
Florida Atlantic University is seeking an Appointment Scheduler/Phone Operator for FAU Medicine Primary Care located in the Galen Building - Boca Raton, FL.
Summary of Responsibilities:
- Answer all incoming calls and route them to appropriate personnel; take messages and send tasks, as necessary.
- Schedule, confirm and cancels appointments for patients, make calls to reschedule appointments as requested.
- Use sound judgment in handling calls, especially with upset patients and understand when to escalate calls to triage Medical Assistant / Nurse or Office leadership.
- Direct other calls to other departments as needed.
- Obtain and enter accurate demographic information (address, telephone number, insurance), schedule Appointments correctly – review appointment date, time, location. - Triage calls accordingly and send Telephone Encounters to appropriate personnel.
- Retrieves voicemail messages as needed.
- Inform caller of items to bring to appointment (including insurance card, medications, New Patient paperwork).
- Remind patient to arrive 15-30 minutes before scheduled appointment to complete paperwork.
- Answer questions and offer other information, as requested.
- Performs other duties as directed.

Minimum Qualifications:
Bachelor's degree from an accredited institution; or an associate's degree from an accredited institution and one (1) year of appropriate experience; or a high school diploma and four (4) years of appropriate experience required.
Preferred Qualifications/Skills:
Ability to work collaboratively with all levels of faculty, staff and student. Exceptional verbal and written communication skills are essential for success in this position.
One year of customer service experience in a medical setting.
eClinicalWorks (eCW) EMR System experience.
Knowledge of Microsoft Excel, Word and Outlook.
Knowledge of operation standard office equipment.
Knowledge of clerical administrative procedures and systems such as filling and record keeping.
Knowledge of HIPPA rules.
Salary:
$19.50 per hour.
