GENERAL FUNCTION:

Computes, classifies, records, and verifies numerical data for use in maintaining accounting records by performing the following duties.

ESSENTIAL FUNCTIONS:

  1. Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
  2. Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
  3. Audits invoices against purchase orders, researches discrepancies, and secures approval for payment.
  4. Investigates problems that vendors or purchasing agents have with obtaining payment for bills.
  5. Prepares vouchers, invoices, checks, account statements, reports, and other records, and reviews for accuracy.
  6. Reconciles bank statements.
  7. Reviews, balances, and interprets computer reports, and makes corrections.
  8. Assist person served with accessing community resources i.e. utility assistance, food stamps, social security benefits and Medicaid, when needed, to include initial application for benefits, yearly recertification, annual accounting, wage reporting, and MR housing, where applicable.
  9. Maintain tracking mechanisms, either electronic or hard copy, as required by Support Solutions.
  10. Communication of Social Security appointment information via S-Comms, when required.
  11. Maintenance of physical personal funds files.
  12. Enter inventory into tracking system and maintain records accordingly.
  13. Personal funds training during orientation, at home manager meetings, individual house meetings (if requested), and with new house managers.
  14. Track and audit cash and food stamp audits.
  15. Accurately track leases and ensure timely renewal.
  16. Assist with tax returns where needed.
  17. Complete paperwork necessary to open bank accounts and successfully establish direct deposit of assigned benefits.
  18. Assist staff with establishment or disconnection of utilities during moves or transitions.
  19. Appropriately assign and track advance payback status and obtain signatures on required documentation.

OTHER FUNCTIONS:

  1. Exhibits behaviors and best practices that are consistent with the vision and values of SSMS.
  2. Practices safe work habits to eliminate and control potential safety and health hazards and to maintain a safe work environment. Attends all safety training as scheduled.
  3. Work as part of the team to ensure that SSMS Quality Management principles (Plan, Measure, Assess. Improve) are practiced and achieved.
  4. Operates SSMS and personal transportation in a safe and healthy manner.
  5. Performs other job related duties as may be assigned by designated and/or authorized staff.

Qualifications

MINIMUM REQUIREMENTS:

A minimum of two years of college is preferred. Experience managing personal funds and excellent detail skills. Highly competent in the use of computers and other office equipment. Must be 21 years of age and able to read and write effectively. Must have a valid drivers license and maintain a valid drivers license and acceptable driving record throughout employment with SSMS. Must meet state and local requirements regarding criminal background check, sexual offender check, abuse registry, drug, and felony offender listing. Must meet all training requirements and keep training current. Must have some computer knowledge.

MEDICAL REQUIREMENTS:

Employee must also provide any medical records required to comply with regulations in force through any governing entity related to business operations and to meet policy and procedure requirements of Support Solutions.

PHYSICAL REQUIREMENTS:

The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job. This position is full time and may require additional hours over 40 per week. She/he is expected to be available outside of normal office hours for necessary and urgent company matters.

Body Positioning: The employee is regularly required to stand and/or walk for prolonged periods of time. She/he may also be required to sit for short or long periods of time while completing other duties and responsibilities. There is also a requirement to be able to occasionally stoop, kneel, or crouch and to reach with the hands and arms. She/he must be able to drive/travel for short periods of time to attend meetings, trainings, or perform site visits or for longer trips that will require overnight stays to attend meetings and training workshops.

Body Movements: The employee must have a full range of body movements including the use of his/her hands to handle computers and other office equipment. The ability to bend the body, to reach for objects, and to crouch when needed are also required.

Body Senses: The employee must have command of all five senses: sight, hearing, touch, smell, and taste. Specific vision abilities required include close vision, distant vision, and depth perception. These vision requirements in each area must be sufficient to shift in focus from reading dossiers and operating office equipment. There is also a requirement to talk and listen for prolonged periods both on the telephone and face to face.

Strength: The employee must have the ability to occasionally lift up to 20 pounds.

LICENSES/CERTIFICATES:

  • Valid Drive License

Valid automobile insurance if required to use personal auto; otherwise company furnishes insurance for corporate vehicles.
