Filevine is hiring a Personal Assistant to the CEO. The PA will be someone who is organized and proactive, with expertise in managing schedules, travel arrangements, personal and executive matters, and administrative tasks to streamline executives' daily operations. You will be known for maintaining confidentiality, anticipating needs, and enhancing productivity through efficient support.

Responsibilities

  • Executive responsibilities: 
  • Calendar management for CEO, including meetings and personal appointments 
  • Plan travel; flights, hotel, transportation, and dinner reservations Handle expense reports and reimbursements 
  • Knowledge of excel and outlook calendar (Microsoft Suite)
  • Handle incoming emails and respond professionally 

  • Personal/ Family responsibilities: 
  • Responsible for various errands - personal shopping, store returns, deliveries, etc.
  • Collaborating with Mrs. to coordinate schedules and care related to the children (watching the younger children during the day, driving them to after school activities) and home 
  • Assist with household chores - laundry, changing filters, extra cleaning. 
  • Assist in preparing the homes for special occasions and events, including holiday décor
  • Plan travel; flights, hotel, transportation, and dinner reservations 
  • Reimbursements, preparing expense reports, paying bills, holiday card lists, etc. 
  • Be exceptionally well organized; create systems in-home office for greater efficiency andtime well spent. 
  • Ensure Principal’s day-to-day life runs smoothly 
  • Handle incoming emails and respond professionally 
  • Oversee all vehicle maintenance, registration, and cleaning 
  • Research and find solutions to various problems 
  • Source and manage vendors on multiple projects 

Qualifications

  • A proactive approach to problem-solving. 
  • Ownership mentality with the ability to get things done and work independently. 
  • Must be strong with logistics and general coordination; manage time and multiplepriorities efficiently 
  • Must possess unique and creative problem-solving skills and be able to plan forcontingencies 
  • Must be exceptionally well organized, pay impeccable attention to detail and possessstrong interpersonal and written communication skills 
  • Be polished, confident, and enthusiastic with a high level of client servicing.
