About the role: 

The Personal Assistant will provide high-trust support to senior executives, ensuring priorities are executed efficiently and nothing falls through the cracks. The role is responsible for managing complex calendars, coordinating meetings and travel, tracking commitments, and streamlining communication across a fast-paced, multinational environment.

Acting as a key point of coordination, the Personal Assistant will exercise sound judgment, discretion, and proactive problem-solving to keep executives organised, prepared, and focused on high-value activities. Success in this role is measured by the ability to reduce bottlenecks, anticipate needs, and ensure seamless execution of executive priorities.

Reporting Line: Executive Assistant

Location: Limassol, Cyprus

Key Responsibilities: 

  • Own end-to-end calendar and schedule management for both executives across UK / EU / EMEA time zones
  • Actively track executive commitments, follow-ups, and actions to ensure nothing is missed
  • Coordinate and send business-related invites for meetings, dinners, events, and external engagements
  • Prepare concise one-page briefs ahead of key meetings, highlighting context, attendees, and decisions required
  • Track and route internal approvals, ensuring the correct order of sign-offs is followed
  • Coordinate meeting logistics, agendas, and pre-shared materials (avoiding channel and document sprawl)
  • Act as a communication gatekeeper, surfacing only what genuinely requires executive attention
  • Consolidate actions into clear post-meeting summaries with owners and deadlines
  • Ensure executives are only included in critical groups, threads, and mentions when it comes to internal communication
  • Manage travel and accommodation coordination, including itineraries and meeting logistics
  • Assist with posting and coordinating content on social platforms as required by the executives

Key Requirements: 

  • 3+ years’ experience supporting C-level executives in fast-paced, multinational environments, with demonstrated ownership of complex calendars and schedules
  • Experience or strong understanding of the payments, fintech, or financial services industry
  • Exceptional organisation and prioritisation skills, with a proven ability to reduce bottlenecks and manage high-volume communication
  • Strong written and verbal communication skills, including drafting concise briefs and filtering information with sound judgment
  • High integrity, discretion, and confidentiality, particularly when handling sensitive executive, legal, and commercial matters
  • Proficiency with productivity and collaboration tools (Google Workspace, Microsoft Office, Slack/Teams, etc.)
  • Fluent or professional-level Russian, with the ability to communicate confidently when required will be considered a plus. 
  • Proactive, calm, and solution-driven working style, able to anticipate needs, adapt quickly, and support two executives with different priorities.

  • Video Assessment - If selected, you will complete a short video assessment (max 30 mins) via our platform, answering a few questions designed to assess your communication, problem-solving, and attention to detail.
  • Initial Interview - Conducted by the Talent Acquisition team (30 mins).
  • In-Depth Discussion - A 45-minute in-person interview with the Executive Assistant and the Group Chief People Officer
  • Final Discussion: A 30-minute deep dive with our C-level executives to assess your skills and alignment with the role.

Skills Required
