DEPARTMENT: People Operations 

LOCATION: Phoenix Home Office / Local Hybrid; primarily remote with some in-person presence 

REPORTS TO: Director of People Operations 

FLSA STATUS: Non-Exempt, (Hourly) part-time


Position Summary 


The People Systems Support Specialist provides front-line functional and technical support for Great Hearts’ People systems, including Workday, Brightspace, SharePoint, and related tools. The role serves as an initial point of contact for systems requests, resolves routine issues, supports access administration, testing, audits, documentation, and data quality, and escalates complex or high-risk matters to the appropriate systems owner. 

 

Duties & Responsibilities 


Systems Support & Ticket Coordination 

  • Monitor, triage, escalate, resolve, and coordinate incoming People Systems requests and support tickets. 
  • Provide frontline guidance for common system questions and escalate complex issues appropriately. 
  • Identify recurring issues, documentation gaps, and service improvement opportunities. 

User Access & Security Support 

  • Perform routine account maintenance, user access, and security administration. 
  • Receive, document, and triage access or security-related requests 
  • Support access reviews, audits, and approval documentation. 
  • Handle confidential information carefully and escalate sensitive or high-risk concerns. 

Documentation & User Education 

  • Create and maintain SOPs, job aids, FAQs, training guides, and other systems documentation. 
  • Support clear user education and communications for system updates, changes, and recurring needs. 
  • Document troubleshooting steps and resolutions for team reuse. 

Testing, Auditing & Operational Support 

  • Support testing, audits, reporting, and routine system maintenance. 
  • Assist with improvement projects and assigned operational work, including data entry. 
  • Participate in team meetings, training, and continuous learning. 
  • Perform additional duties and projects as assigned. 

Qualifications, Competencies & Strengths 


Education 

Associate degree or equivalent education and relevant experience required. Bachelor’s degree in human resources, business, information systems, or a related field preferred. 


Experience 

One or more years of experience in administrative support, operations, customer service, technical support, human resources, data quality, or a related field preferred. Workday experience helpful but not required.

  • Strong communication, documentation, and attention to detail. 
  • Technical curiosity and ability to learn systems quickly. 
  • Excellent customer-service mindset and ability to explain information clearly. 
  • Professional, positive presence and sound judgment in handling sensitive data and communications. 
  • Ability to follow procedures, manage priorities, solve problems, and escalate appropriately. 
  • Proficiency with Microsoft Office, SharePoint, and Teams. 
  • Interest in HRIS, Workday, systems administration, or enterprise application support. 

Additional Requirements 


Type of fingerprint clearance: Must possess or obtain a valid Arizona Department of Public Safety IVP Level 1 fingerprint clearance card. 


Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to approximately 15 pounds. 


Work location and presence: Phoenix-area local hybrid role, primarily remote with occasional in-person presence at Great Hearts locations. 


Travel required: May need to travel locally to Great Hearts academies and offices within the Phoenix metro area. 


Schedule: Part-time schedule based on organizational needs (approximately 20-hours per week), with some flexibility for time-sensitive system work.
