At Quantum Workplace, we believe the employee experience does not happen by accident. It is built through strong systems, thoughtful processes, and meaningful interactions that help people feel supported and confident at work.
We are looking for a People Operations Specialist — a true multi-hat role that powers the operational engine behind our Employee Success, what we call our People team, while serving as a trusted, resource for employees and managers across the organization. This is the right fit for someone who loves structure, thrives on precision, and also genuinely enjoys being the person others turn to for clarity, support, and follow-through.
One day you're deep in HRIS data and payroll accuracy. The next you're sitting with a manager working through a tricky leave question, or helping an employee feel heard during a hard moment. If you like variety, ownership, and being trusted with both the systems and the people behind them, this role is built for you.
What You'll Do
- Manage and optimize our HRIS, employee data, benefits administration, and payroll support processes with a high degree of accuracy and ownership.
- Lead and support HR projects that improve operational effectiveness and strengthen the employee experience like our mentorship program, internship program, and professional development and wellness.
- Drive usage of Quantum Workplace software internally and provide guidance to our ProdDev teams.
- Interpret policies, data, and trends to provide thoughtful guidance and recommendations to employees and managers.
- Administer and track leaves of absence and maintain required employment documentation with discretion and care.
- Design, document, and continuously improve Employee Success team workflows to reduce manual work and increase efficiency.
- Evaluate and implement AI tools and automation to streamline reporting and enhance team productivity while preserving a high-touch employee experience.
- Build trust and real connection with employees and managers — you're often the first person they come to, and how you show up matters as much as what you know.
- Serve as a trusted resource for employees and managers, handling sensitive matters with professionalism, empathy, and sound judgment.
- Identify patterns in employee questions or operational challenges and proactively recommend improvements.
- Integrate inclusive practices into daily operations to ensure fairness and consistency across all People processes.
What We're Looking For
- You bring about 2 to 3 years of experience in HR, People Operations, HRIS administration, or something closely related.
- A SHRM-CP, PHR, or similar certification is a plus, but not a deal breaker.
- You've worked hands-on in an HRIS (we use Paylocity) and have supported benefits administration, not just observed it.
- You enjoy improving processes and have used reporting tools or AI to make work more efficient and less manual. We regularly use Claude, Slack, and Copilot.
- You're comfortable in Excel and don't shy away from data, dashboards, or digging into details.
- This role is hybrid and requires being in our Omaha office 2 to 3 days per week. We're flexible on this, but believe being present and connected to our people is a core of this job.
- You build trust quickly and connect easily with people at every level — employees come to you because you're approachable.
- You're comfortable wearing a lot of hats and shifting gears between detailed data work and real, human conversations, often in the same afternoon.
- You're known for follow-through. If you say you'll handle something, it gets handled.
- You communicate clearly and can adjust your style depending on who you're talking to.
- You genuinely like helping people and bringing clarity to moments that can otherwise feel confusing or overwhelming.
Applications close July 30th. Initial phone screens will start the following week.
The interview process includes four steps:
- Phone screen with the hiring manager, Cyndi
- In-person interview with Cyndi
- Team interview
- Office visit and CEO meet and greet
We will keep you informed along the way!
Skills Required

- Hands-on experience with an HRIS (experience with Paylocity preferred) and benefits administration
- Experience supporting payroll accuracy and payroll support processes
- Experience administering and tracking leaves of absence and maintaining employment documentation
- Comfortable with Excel, data, dashboards, and reporting tools
- Experience using reporting tools or AI (e.g., Claude, Copilot) to improve processes and automation
- Ability to build trust quickly, handle sensitive matters with professionalism and empathy, and strong follow-through
