The Position: As the People Operations Coordinator at Lightyear, you will directly support the Head of People and Chief Executive Officer in completing important administrative tasks for the company. We are looking for an administrator who thrives in a fast paced environment and is not afraid of diving into a new project and figuring out how to navigate it. This position is great for someone who is task-oriented, has a “get things done” attitude, and is interested in supporting a dynamic and growing tech start up. This position will give you exposure to all of the operating components of a business as well as core elements of HR and administration. A successful People Operations Coordinator at Lightyear will have multiple internal advancement opportunities.
This position will be full-time and fully remote. Cash compensation range will be between $55,000 - $65,000 and include equity as well (compensation package specifics to be determined by experience and fit).
Key Responsibilities
- Run and manage semi-monthly payroll for all employees, including review of timekeeping data, benefit deductions, and reimbursements, ensuring timely and accurate payments
- Update and maintain the company HRIS information by updating employee and company information such as addresses, salary changes, and state tax ID codes
- Work closely with the CEO to provide administrative assistance on special projects with seamless execution and follow-through on priorities and initiatives
- Assist with the facilitation of employee onboarding and offboarding tasks including distribution of equipment, organizing meetings, sending onboarding messages, and setting up/shutting down relevant systems
- Monitor administrative email accounts for any incoming business needs including tax notices, state and federal business requests, virtual mailboxes, invoices, etc, and take appropriate action per email in a timely manner
- Ensure timely and accurate payment of incoming invoices in accordance with the company’s payment schedule, maintaining positive vendor relationships and supporting smooth financial operations
- Track and report reimbursements for employees to ensure they are accurately paid in upcoming pay periods
- Assist with the scheduling of team meetings, interviews, or events that need to be set up in a timely manner
- Collaborate with the Head of People on ad hoc administrative projects which can range from recruiting, employee engagement, talent management, and other key HR initiatives
- Provide calendar management and administrative support to other executives across the company when requested to make sure daily operations are being run efficiently
Ideal Qualifications
- 1–2+ years of experience providing HR support in roles such as Administrative Assistant, HR Coordinator, or Executive Assistant
- Experience with accounts payable is strongly preferred
- Demonstrates strong prioritization skills and ability to manage multiple projects in a fast-paced environment
- Proactive and resourceful, with a desire to learn and a habit of seeking solutions independently before escalating
- Familiarity with Paycor and other HR softwares is a plus
- Bachelor’s degree in Business Administration, Human Resources, or a related field is recommended
