In the People Operations Coordinator position, you'll provide administrative and operational support to the Safety Specialist and the People Operations Admin Team. You'll maintain safety records and documentation, manage purchase requisitions, reimbursements, and payments, handle inventory and supply requests, and assist employees with access credentials (DBIDS). It's a hands-on, varied role where you'll keep administrative workflows moving—no two days exactly the same. Other job responsibilities include:
Safety Administration
- Assist the Safety Specialist with preparation, organization, formatting, and maintenance of Safety SOPs.
- Assist in developing and updating safety-related procedures, forms, checklists, and documentation.
- Maintain organized electronic and physical safety records.
- Assist with tracking safety inspections, corrective actions, training, certifications, and other safety-related documentation.
- Coordinate administrative follow-up for safety initiatives and assigned action items.
- Assist with preparing reports, spreadsheets, correspondence, and other safety-related materials.
- Assist with scheduling and coordinating safety meetings, training, inspections, and related activities.
Administrative & Financial Support
- Provides administrative support for a variety of employee, customer, financial, procurement, inventory, and operational processes across GTA.
- Administers and maintains DBIDS-related processes, including processing requests, maintaining required documentation, coordinating information, and assisting employees with administrative requirements related to access credentials.
- Processes and maintains Employee Courtesy Service Program (ECSP) requests and related documentation, ensuring information is complete, accurate, and processed in a timely manner.
- Assists with customer barter transactions, including receiving and organizing supporting documentation, coordinating approvals or required information, maintaining records, and ensuring transactions are properly processed.
- Prepares and processes purchase requisitions and related documentation for various departments and operational needs.
- Coordinates employee inventory and supply requests, including equipment, uniforms, business cards, and other company-issued items; works with appropriate departments or vendors to facilitate fulfillment and maintain accurate records.
- Processes and coordinates reimbursements (including, but not limited to, LSA reimbursements and employee expense etc.), including reviewing supporting documentation, verifying required information, routing items for appropriate approval, and maintaining records of completed transactions.
- Processes check payments received through mail and designated drop-box locations, including recording, organizing, and entering payments into the appropriate financial system.
- Maintains organized records of administrative and financial transactions, including invoices, requisitions, reimbursements, payments, purchase orders, and other supporting documentation.
- Assists with Executive Hospitality administrative needs, including shopping for designated supplies and maintaining appropriate inventory of hospitality-related items.
- Receives, sorts, and coordinates incoming and outgoing company mail, ensuring documents and correspondence are routed to the appropriate individuals or departments in a timely manner.
- Maintains confidentiality and exercises appropriate discretion when handling employee information, financial records, customer information, company documents, and other sensitive business information.
- Performs other administrative duties and special projects as assigned to support the operational needs of the organization.

- Attendance/Punctuality – is consistently at work and on time for scheduled shift and department or customer scheduled Ensures work responsibilities are covered when absent.
- Technical skills – constantly strives to increase technical knowledge to improve training tools through latest product knowledge, industry knowledge, and
- Decision making – makes sound, well informed, fact-based decisions and seeks guidance when

- Minimum HS Diploma or GED equivalent
- Proven work experience in an administration capacity
- Strong communication skills verbal and written
- Highly organized with strong capability to multitask and finish assigned projects before deadline dates
- Ability to actively listen and to persuasively convey ideas and recommendations; keen awareness of and sensitivity to maintaining confidentiality across all levels of the organization
- Ability to establish and maintain effective working relationships
- Ability to perform accurately in a detailed oriented environment
- Ability to analyze information and recommend solutions
- Ability to work with minimal or no supervision
- Proficient with Microsoft Office (Word, Outlook, Excel), eLation
- Familiarity with office equipment, like printers, fax, scanning and emails
- Maintains a regular punctual, and consistent attendance
- Must be able to work on weekdays and available on weekends (for company events or as needed) to meet the needs and goals of the business
- Must possess a valid Guam Driver’s License and be willing to travel to various locations.
- Must be able to work any shift and weekends, variable schedule(s) as necessary to meet the needs and goals of the business.
