We are seeking a dynamic and highly organized People & Culture Specialist to join our U.S. People & Culture team. Reporting directly to the P&C Manager, the People & Culture Specialist will manage key HR operations and employee relations functions in the U.S. region, while contributing to the goals of the Global People & Culture team. This role requires a deep understanding of U.S. HR compliance and best practices, as well as a passion for supporting the employee experience. Key Responsibilities: 

HR Operations:

  • Maintain and organize HR documentation, including signed staff requisitions, job descriptions, CVs, onboarding and offboarding forms, termination and resignation documents. 
  • Prepare and issue standard contracts, offer letters, bonus and increment letters, ensuring alignment with U.S. labor laws and regulations.
  • Conduct orientations for new hires (including contractors), ensuring that all compliance and onboarding requirements are met.
  • Create, update, and maintain accurate employee records in the HRIS system (BambooHR) for both new joiners and leavers.
  • Conduct exit interviews, analyze trends, and generate actionable insights based on employee feedback. 

 Compliance & U.S.-Specific HR Responsibilities: 

  • Ensure compliance with U.S. labor laws and regulations, including FLSA, FMLA, ADA, and COBRA. 
  • Assist in managing workplace policies and procedures, such as EEO reporting, affirmative action plans, and OSHA compliance.
  • Manage and coordinate the administration of employee benefits in line with U.S. standards, including health insurance, retirement plans, and workers’ compensation.
  • Handle the submission and maintenance of required HR documents, including I-9s, W-4s, and E-Verify compliance.
  • Support the preparation and administration of employee handbooks and updates to reflect current employment laws and company policies.

Employee Relations & Engagement: 

  • Provide guidance to employees and managers on HR-related matters, including performance management, conflict resolution, and employee development. 
  • Collaborate with the P&C Manager to enhance employee engagement initiatives, such as recognition programs, wellness efforts, and diversity and inclusion strategies. 
  • Support the P&C Manager in reviewing and renewing employee benefits, medical, and insurance plans. 

HR Reporting & Analytics: 

  • Generate and analyze reports on key HR metrics, including turnover, headcount, and employee satisfaction.
  • Support the P&C Manager in tracking and reviewing compensation data to ensure internal equity and market competitiveness. 

 Additional Responsibilities: 

  • Perform ad-hoc HR administrative tasks as required.
  • Assist with other People & Culture projects as necessary. 

Requirements: 

  • 3+ years of hands-on experience in HR generalist roles, including payroll outsourcing and compliance in the U.S.
  • Bachelor’s degree in Business, HR, or a related field, or an equivalent combination of experience and education.
  • Strong knowledge of U.S. employment law, HR compliance, and benefits administration.
  • Familiarity with HRIS systems (preferably BambooHR), HR reporting, and stakeholder management at both regional and global levels.
  • Proven ability to manage multiple simultaneous projects while meeting tight deadlines.
  • Excellent communication skills, both verbal and written.
  • Strong problem-solving skills, with a focus on employee relations and compliance.
