The People & Workplace Specialist is a key member of the People (HR) and Office Management team, responsible for the day-to-day support of core HR processes and the cultivation of an organized, engaging and inclusive office environment at our New York location in the Koreatown / Nomad area.

This position requires the Specialist to work onsite Monday - Friday throughout core business hours, generally 9am - 6pm with breaks. 

The ideal candidate is highly organized and detail-oriented, with a passion for data integrity and providing an exceptional employee experience.

Please note this is a temporary role with an initial 4 week period with potential for a permanent placement.

What You'll Achieve

1. Team Member Inquiries and HR Operations Support

  • Serve as the first point of contact for employee inquiries via the PeopleOps shared inbox, providing timely, accurate, and professional support.
  • Provide operational support for onboarding, offboarding, and other HR processes, helping ensure a smooth employee experience.
  • Support recruiting operations, including submitting background/reference checks, and maintaining accurate candidate, open position, and employee data across HR systems.
  • Maintain organized employee records and assist with HR reporting and documentation as needed.
  • Serve as backup for other People Operations administrative tasks to ensure continuity across processes.

2. Workplace Experience & Office Management

  • Welcome team members and visitors to create an inclusive and engaging experience that reflects the GumGum brand
  • Act as the primary liaison with building management, vendors, and service providers, coordinating maintenance, repairs, and manage office-related projects to completion.
  • Manage shared storage and office resources, ensuring accessibility, efficiency, and alignment with team needs.
  • Maintain office budgets, purchasing, and supplies with a focus on quality, consistency, and value.
  • Handle all company shipping and receiving
  • Implement and maintain workplace safety and compliance protocols, including the management of office access and security systems and the posting of required in-office notices

3. Employee Experience & Event Support

  • Partner with the People & Culture team to support planning and execution of onsite, hybrid, and remote events, including team celebrations, department meetings, company-wide programs, and client-facing events such as industry mixers or client meetings.
  • Handle event logistics such as budgeting, vendor coordination, catering, setup, teardown, and cleanup.
  • Assist with the execution of People programs and initiatives, ensuring employees feel included, engaged, and connected.
  • Provide operational support for offsite or cross-functional events as needed, ensuring a seamless and professional experience for both internal teams and external guests.

Skills You'll Bring

  • 2 years of experience in supporting HR operations, administrative work, office support, and/or event coordination
  • Experience with HRIS systems (ADP, Greenhouse, ChartHop are a plus) and proficiency in Google Suite
  • This position requires working in the New York City office five days a week.
  • Exceptional attention to detail and a commitment to data integrity
  • Strong interpersonal and communication skills, with the ability to interact with all levels of the organization. 
  • Ability to handle confidential and highly sensitive information with discretion and professionalism
  • Able to research potential solutions and overcome obstacles to get projects to the finish line
  • Must be able to lift up to 20+ pounds as needed
  • Thrives in an exceptionally fast-paced environment

What We Offer

The reasonable estimated hourly pay for this role is from $32-38/Hour.
