Bethanna is seeking a detail-oriented, organized, and customer-focused Administrative Assistant to support our Training Department and Parenting Education Program. This position plays a vital role in coordinating staff trainings and parenting education activities that help ensure our employees, parents, and caregivers receive high-quality learning experiences.

The Administrative Assistant provides essential clerical and organizational support by assisting with scheduling, communication, recordkeeping, data tracking, and training logistics across Bethanna's programs. This role also supports the Parenting Education and Child Enrichment (PECE) Program by coordinating participant registrations, maintaining accurate records, and providing exceptional customer service to families and community partners.

 QualificationsPosition Responsibilities

As the Administrative Assistant, you will:

  • Coordinate scheduling for staff trainings, parenting education classes, workshops, certification sessions, and meetings.

  • Prepare sign-in sheets, evaluations, certificates, handouts, lesson packets, and digital training materials.

  • Coordinate participant registrations and maintain class rosters for parenting education cohorts.

  • Reserve meeting rooms, prepare technology, and assist with training logistics.

  • Maintain accurate attendance records and enter training data into agency systems.

  • Monitor and organize training files, digital resources, and departmental documentation.

  • Draft and distribute training announcements, reminders, flyers, and other communications.

  • Respond to staff, parent, and community inquiries regarding training schedules, registrations, and program information.

  • Provide administrative support to trainers and presenters before, during, and after training sessions.

  • Deliver warm, mission-centered customer service to families seeking information about parenting education services.

  • Perform general administrative duties including scanning, copying, filing, data entry, and organizing materials.

  • Assist the Training Department Manager and Parenting Program Coordinator/Director with reports, projects, grant documentation, and program evaluation.

  • Maintain department calendars, training platforms, and resource libraries.

  • Manage phone and email communications with parents, caregivers, staff, and community partners.

  • Track attendance, participant outcomes, and assist with reporting requirements.
