The Role

Key Responsibilities:
  • Document Validation & Verification:
    Validate and verify partner documents to confirm eligibility for accreditation and wallet creation.

  • Data Management & Reporting:
    Maintain accurate trackers and databases, and prepare comprehensive reports on document completion and compliance.

  • Stakeholder Support:
    Act as the main point of contact for internal clients, addressing documentation queries and concerns promptly.

  • Security & Compliance:
    Ensure the secure handling and storage of sensitive partner documents in line with data protection policies.

  • Process Improvement & Training:
    Lead initiatives to enhance operational processes, develop training sessions, and implement best practices.

  • Team Leadership & Strategic Development:
    Oversee daily operations of assigned teams, monitor key performance indicators (KPIs), and coach team members to improve performance.

  • Cross-Department Collaboration:
    Work with various internal teams (e.g., B2B, Product, Compliance) to optimize procedures and resolve operational challenges.

Key Result Areas & Performance Indicators:
  • Customer:
    Enhance satisfaction by ensuring reliable service delivery and quick resolution of documentation issues (measured via feedback and resolution times).

  • Financial:
    Contribute to cost efficiency and revenue growth by mitigating compliance risks and streamlining processes (tracked through cost reductions and QA scores).

  • Process:
    Drive internal process improvements, reduce errors, and enhance turnaround times through standardized documentation procedures and regular process audits.

  • People:
    Foster a culture of continuous learning and collaboration through effective coaching, training, and employee engagement initiatives.

Nature of Problems Encountered:
  • Documentation Inconsistencies:
    Resolving incomplete or inaccurate partner documents swiftly through verification and corrective actions.

  • Compliance Challenges:
    Addressing regulatory and policy changes via cross-departmental consultation, with escalations to senior management as needed.

  • Operational Bottlenecks:
    Intervening in process inefficiencies and communication breakdowns to ensure smooth workflow and operational excellence.

Resources Managed:
  • Systems & Tools:
    Oversight of documentation systems, including databases, trackers, and reporting tools (e.g., GLean, Google Suite, Gmail, AppSheet).

  • Human Resources:
    Direct management and coaching of team and vendor personnel responsible for documentation processing.

  • Partner Documentation:
    Accountability for the secure handling and safeguarding of sensitive partner files and compliance materials.

Qualifications & Interdependencies:
  • Qualifications:
    A minimum of a bachelor’s degree (or equivalent experience) and 5+ years in operations, training, or process management, with demonstrated leadership, communication, and technical skills.

  • Interdependencies:
    Regular interaction with the Head of Partner Documents Review (immediate superior), peers in similar roles, direct reports (Partner Documents Review Specialists), and other departments such as B2B, Product, and Compliance. External collaborations occur as needed with partner organizations.
