Job Description

As the Payroll & Tax Operations Specialist, you will support the Human Resources team by supporting payroll and tax-related processes. Your responsibilities include handling personnel and payroll data. You’ll ensure accurate setup of employee tax and unemployment information, process W-2 and W-2c forms, and resolve payroll tax notices. You’ll also respond to employee and manager inquiries professionally and efficiently.

This role serves as a backup to the Payroll Systems Administrator and helps run payroll processes for employees in the US. Accuracy, compliance, and data privacy are critical in this position.

Your role:

  • In coordination with vendors, ensure payroll & tax compliance in the accurate setup of employee tax withholding and unemployment insurance data across multiple jurisdictions. Execute on-cycle and off-cycle payrolls, ensuring timely submission of payroll outputs, tax remittances, and garnishments. Oversee W-2 and W-2c processing, perform audits for accuracy, and support quarterly and year-end tax balancing. Assist with regulatory tax updates and ensure compliance with internal control standards.

  • Review and reconcile weekly, bi-weekly, and quarterly tax funding and filings. Generate payroll, general ledger, and audit reports, and support federal wage allocation reporting. Maintain tax verification records for audits and coordinate SUI rate changes with vendors. Serve as the primary contact for payroll and tax vendors, ensuring strong, productive relationships and timely issue resolution.

  • Provide employee support, projects & process improvement for employee, and manager inquiries regarding tax issues through the Call Management System (SNOW). Train new hires and provide ongoing support to team members on systems and procedures. Lead or participate in cross-functional projects, maintain process documentation (SOPs), and conduct system audits to ensure data integrity. Identify and implement process improvements based on feedback and operational needs.

You're the right fit if:

  • You’ve acquired 4+ years’ experience in payroll tax in a multi-state environment or a valid mix of academic studies and professional experience.

  • Your skills include experience with ADP Global View and Microsoft Office. SmartCompliance is a plus!

  • You have a High School Diploma with vocational training / Bachelor's Degree (preferred) in finance, accounting, or an equivalent academic field.

  • You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position. 

  • You’re a strong communicator (persuasive and assertive), proactive in problem solving and coordinating priorities to solve issues with all stakeholders.

We believe that we are better together than apart. For our office-based teams, this means working in-person at least 3 days per week. Onsite roles require full-time presence in the company’s facilities. Field roles are most effectively done outside of the company’s main facilities, generally at the customers’ or suppliers’ locations.

Philips Transparency Details

The pay range for this position in Nashville, TN is $26.00 to $40.00.

The actual base pay offered may vary within the posted ranges depending on multiple factors including job-related knowledge/skills, experience, business needs, geographical location, and internal equity.    

In addition, other compensation, such as an annual incentive bonus, sales commission or long-term incentives, may be offered.  Employees are eligible to participate in our comprehensive Philips Total Rewards benefits program, which includes a generous PTO, 401k (up to 7% match), HSA (with company contribution), stock purchase plan, education reimbursement and much more.  Details about our benefits can be found here. 

At Philips, it is not typical for an individual to be hired at or near the top end of the range for their role and compensation decisions are dependent upon the facts and circumstances of each case. 

Additional Information

US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a work-authorized visa, now or in the future.

Company relocation benefits will not be provided for this position.  For this position, you must reside in or within commuting distance to Nashville, TN.
