This on-site position plays a critical leadership role in ensuring accuracy, compliance, and efficiency across all payroll operations while maintaining organized and compliant employee documentation.
The Payroll Specialist will oversee multiple payroll cycles, ensure proper auditing and controls, guide payroll-related procedures for onboarding and offboarding, and serve as the primary liaison between the onsite team, Finance, and HR at HQ.
This role requires a high level of ownership, integrity, attention to detail, and the ability to supervise processes while collaborating effectively across departments.
Key Responsibilities
Payroll Oversight (Core)
- Supervise and execute end-to-end payroll processing while ensuring full compliance with local, state, and federal regulations (including FLSA).
- Review, verify, and approve employee timesheets, attendance data, and payroll inputs.
- Maintain accurate payroll and employee records in TriNet and internal systems.
- Serve as the main point of contact for payroll-related employee inquiries, resolving issues professionally and promptly.
- Lead payroll reporting, reconciliations, and auditing procedures in partnership with Finance.
- Identify process gaps and recommend improvements to strengthen accuracy and payroll controls.
Administrative & HR Support
- Oversee preparation of employment contracts, amendments, and other HR-related documents.
- Supervise and ensure smooth execution of onboarding processes, including documentation collection, system setup, and orientation.
- Handle offboarding procedures, ensuring accurate final payments, documentation, and compliance with company policies.
- Maintain and audit employee files, ensuring accuracy and completeness across HR systems.
- Collaborate closely with Finance, HR, and site leadership to support daily operations.
- Support implementation of HR policies, procedures, and compliance initiatives.
Requirements
- Minimum of 3–5 years of experience in payroll, HR operations, or finance roles, with preference for supervisory or lead responsibilities.
- Strong knowledge of payroll compliance and experience with HRIS/payroll systems (TriNet preferred).
- Exceptional organization, analytical, and communication skills.
- High attention to detail, accuracy, and discretion when handling sensitive information.
- Ability to work independently, manage priorities, and lead processes in a fast-paced operational environment.
- Experience supporting multi-department collaboration is a strong advantage.
