Role Overview:

The Payroll Specialist is responsible for leading and executing the full-cycle, multi-state payroll function for all Nelson Miller Group US sites. This individual will have complete ownership of the payroll function. This individual performs all activities necessary to process payroll, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for senior management.

Key Responsibilities:

Payroll Processing & Administration

  • Full-cycle payroll processing for multi-state, multi-site operations, ensuring accuracy and timeliness.
  • Validate timecards, attendance data, and system integrations prior to payroll submission.
  • Process manual checks, adjustments, and off-cycle payments.
  • Reconcile payroll each cycle and validate reports prior to final transmission.
  • Maintain payroll records, audit trails, and employee data integrity.

Compliance, Taxation & Reporting

  • Ensure compliance with federal, state, and local payroll laws, including overtime, double-time, meal premiums, final pay, and wage statement requirements.
  • Process garnishments, levies, child support orders, and other involuntary deductions.
  • Manage quarterly and annual payroll tax filings, including W-2s and year-end reconciliations.
  • Understand and apply proper taxation of employer-paid benefits.
  • Prepare payroll-related reports and ad hoc analyses for management.

Systems, Vendors & Data Management

  • Work within HRIS/payroll systems and ERP environments.
  • Manage vendor files and transactions related to 401(k), FSA, HSA, and other benefit programs.
  • Support EDI feeds and troubleshoot file transmission issues.
  • Partner with HR and Finance to ensure alignment of employee data, benefits, and payroll outputs.

 Cross-functional support: Assist the Finance team with general accounting or finance-related tasks.

  • Adhere to federal and state regulations. 
  • Adhere to all company policies, processes, and procedures. 
  • Performs other duties as requested, directed, or assigned.  
  • Predictable and reliable attendance. 

Requirements

Qualifications:

Education/Learning Experience: High School Diploma or GED

Work Experience: Minimum experience range 3-5 years hands-on payroll experience required in manufacturing industry, with at least 3 years in multi-state payroll. Five years of experience is strongly preferred.

Skills/Knowledge: 

  • Strong knowledge of federal, state, and local payroll laws and regulations, time & attendance processing, payroll/tax reporting and reconciliation, and wage and hour laws.
  • Proficiency with payroll software and HRIS systems.
  • Excel proficiency
  • Excellent analytical, problem-solving, and organizational skills.
  • Exceptional attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to work independently as well as collaboratively in a team environment.
  • General accounting fundamentals

Additional Information

  • This position requires candidates to be a U.S. Citizen, Permanent Resident Alien, or Protected Individual per 8 U.S.C. §1324b(a)(3) due to ITAR and/or CUI compliance.
  • Candidates being considered for hire must successfully pass a pre-employment background check.

Compensation and Benefits:

Pay Range: $72k - $82k (Pay to be determined by the experience, knowledge, skills, and abilities of the candidate, and alignment with market data)

  • Must successfully pass a pre-employment background check
