STARTING SALARY:          $29.00/hr

STATEMENT OF THE JOB

Under the supervision of the Payroll Manager, the Payroll Specialist is responsible for all functions related to payroll. Interface with various electronic systems and ensure quality control.  The Payroll Specialist represents the organization in all interactions with customers. This position shall maintain the required status as an approved driver and as a confidential employee.  Complies with CVTC Inc. policies and procedures and demonstrates appropriate Employee Standards of Conduct.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains payroll information by designing processes; directing the collection, calculation, and entering of data.
  • Interfaces with vendors regularly to ensure the integrity of the payroll system.
  • Ensure there are sufficient resources to process payroll.
  • Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers, etc.
  • Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts.
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.
  • Balances the payroll accounts by resolving payroll discrepancies.
  • Provides payroll information by answering questions and requests.
  • Maintains payroll guidelines by providing recommendations for updating policies and procedures.
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Completes EDD forms and employment payroll verifications.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Assists with orienting and training Accounting employees.
  • Contributes to team effort by accomplishing related results as needed.
  • Prepare documents for annual audits.
  • Compile, sort, audit and verify accuracy of data.
  • Maintain an organized, professional office environment.
  • Maintain an organized filing system for all files related to the accounting department.
  • Keep supervisor up to date on all accounting issues.
  • Perform other duties as assigned.

  • Experience using network-based system including knowledge of file structure.
  • Excel – Ability to develop and copy formulas, and format worksheets.
  • Word – Ability to keyboard, prepare letters and simple documents including formatting,         table development and spell check.

 

EDUCATION and/or EXPERIENCE

  • Associate's degree (A. A.) or equivalent from a two year college or technical school; or six years related experience and/or training; or equivalent combination of education and experience.

ESSENTIAL REQUIREMENTS OF THE JOB

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. An individual must possess basic knowledge of computer software programs, bookkeeping, communication skills, and modern office techniques.
  • Must be willing to travel within the state of California up to 10% of the time.
  • Must meet state personnel licensing standards, which is to include a record review conducted by the State of California, and a review by the Federal Government as well if applicant is new to California within the last two years.
