The Role
Summary:

We’re looking for a detail-oriented and highly organized Payroll Specialist to own and manage high-volume payroll across the U.S. and Europe. This role requires strong expertise in processing semi-monthly payroll, off-cycle payments and commission payouts, along with handling complex salaried payroll operations. As a growing global company, we rely on a mix of automated and manual processes, requiring you to have a strong ability to navigate, refine, and improve manual workflows while ensuring 100% accuracy and compliance.

This role is five days a week in our Houston, TX office (zip code 77042).

Your Day to Day:
  • Payroll Processing & Accuracy
    • Execute semi-monthly multi-state payroll for U.S. and European employees.
    • Handle manual payroll calculations for complex cases, including off-cycle payments and adjustments.
    • Ensure accuracy in payroll transactions, including new hires, terminations, and salary changes.
  • Payroll Compliance & Deductions
    • Manage payroll-related taxation, deductions, and withholdings (401k, HSA, FSA, benefits, etc.).
    • Ensure compliance with federal, state, and international payroll regulations.
    • Process and maintain accurate tax filings and payroll-related government submissions.
  • Off-Cycle Payroll & Commission Payouts
    • Process off-cycle payroll including commission payouts, bonuses, and corrections.
    • Coordinate manual adjustments for retroactive pay, terminations, and special cases.
  • Reporting & Audits
    • Generate payroll reports for finance and accounting teams.
    • Support internal and external audits, ensuring payroll data integrity.
    • Reconcile payroll records to maintain compliance and accuracy.
  • Employee Support & Process Improvement
    • Partner with HR and Finance teams to refine and implement payroll best practices.
    • Address employee payroll inquiries, providing clear explanations on pay-related matters.
Qualifications & Experience
  • Bachelor’s Degree highly preferred
  • 2-5 years of payroll processing experience, with experience in managing complex multi-state payroll processes, including deep understanding of payroll taxation, deductions, and compliance regulations (401k, HSA, FSA, etc.).
  • Experience managing multi-country payroll highly preferred
  • Proficiency in ADP, Deel, and GSuite
  • Strong problem-solving and analytical skills, with a keen attention to detail.
  • Ability to work independently, meet deadlines, and manage high-volume payroll cycles.
  • Excellent communication skills, with the ability to translate payroll complexities into clear guidance for employees, and leadership.
